Questions to ask at final venue meeting

We have our final meeting at the venue tomorrow to finalise numbers, menu choices etc.

I have come up with a list of about 15 questions I want to ask them just to make sure I know exactly how everything will be.

Are there any questions you forgot to ask your venue? Anything you recommend checking out that I may have forgotten? Anything that wasn't how you expected on your wedding day that you wish you had clarified beforehand?

    I made sure to ask my venue/coordinator if there was a place to put our card box after the reception started. Like her office. It's a public place and I'm sure people could find access to where we are so I want to avoid the chance of somebody taking our cards. I also asked if there will be a spot for me to hide out for a few minutes with my girls and also myself before the ceremony. I asked about smoking locations, to make sure we don't break any rules. Also. Make sure you ask what the time is that you have to be completely out of the venue afterwards. Cleanup done and everything. Ask what time you can get in to start decorating. Is it handicap accessible? Parking? Are there any areas that are off limits for pics? Ummm. I'm trying to think what I asked our venue or what I have on my list. Can you use real candles? Or do you have to use fake? Make sure whatever you are using for your centerpieces and decorations is allowed. Also ask if your dessert (cake, cupcakes Etc) is allowed. Our venue doesn't allow any home baked goods. I'm running out of things. I don't have my lil book with me. Hopefully some of these help!

    My list so far…:

    - Do they have an easel for the seating chart to stand on, and where will it go?

    - Do they have a table for the postbox (card box) to go on, and where will it go? What decoration might it need?

    - Where should I get ready - in the room I'm staying in the night before, or the Bridal suite we'll be in the night of? How will my things get moved from one to the other?

    - When can I access the reception room to put the decorations up? (ie. have they got anything booked the night before - I know that if they haven't I can access it the previous afternoon)

    - Do they have steps or a sturdy chair I can stand on to put decorations up?

    - Can my bridesmaid who isn't staying at the venue the night before join us for breakfast the day of? At what cost?

    - How much do we need to allow for the photographer's meal and what would be the best arrangement?

    - When do our decorations need to be removed by?

    - Do they accept card payments at the bar? (yes, sorry, people have to pay for their drinks apart from cocktails after the ceremony and wine with the meal)

    - Who will make the announcements on the day - i.e. make sure people move into the ceremony room, present us after the ceremony etc.

    - Do they provide labels for the buffet food or should I make some?

    - How many high chairs are available if required for babies?

    - If we want to get extra drinks on the day (eg. an extra bottle of champagne for me and my mum to sneak! Or extra bottles of wine during the meal if people run out) how do we do that/pay for that on the day?

    - Is it ok for us to look round with the photographer on the 7th June so they know the layout etc.?

    - Double check room bookings - myself and MOH the night before, grandparents must be on ground floor etc.

    They're going to love me tomorrow!!

    Some of mine are very specific to the venue:

    When are namecards, decorations etc dropped off?

    When are namecards, decorations etc picked up?

    When are entree selections required? What format?

    Any previous mistakes brides have made that we can avoid?

    Can the reception go 5:15-10:15?

    Where do people take pictures in rain?

    Who will be our point person on the day of our wedding?

    Who handles decorating before event? Ie. card box, frames?

    Can we have edible favor? Bagged caramel corn?

    How is the cardbox protected during event?

    How are vendor meals handled? When? Who? What?

    Do people put a sign in lobby to direct?

    How does parking work?

    Can people park overnight?

    Is there parking valet? Complimentary?

    Any issues with a running bus service?

    Is their wifi available?

    Where do people put coats/umbrellas?

    Can we see the bride's room?

    Do people put baskets in bathrooms?

    Where are additional tables set up?

    What are the table length?

    Do additional tables have table cloth?

    What are napkin and table cloth color options?

    What are examples of decorations for fireplace?

    Can the fire place be used?

    Is beer poured into glass?

    Are shots allowed?

    What happens if people arrive before cocktail starts?

    Where are guests allowed to smoke?

    What is the additional cost of passed champage?

    Will their be staff clearing drinks/plates?

    Can staff with food come in from different entrances?

    Will there be chairs at cocktail hour? How many?

    Will the lights be on?

    Who will announce transition to reception?

    What if people come early?

    Should the garage doors be up or closed?

    Can their be a water dispenser at the cocktail reception?

    If we cut first course, how many additional apps do we get?

    Are bride and groom provided plate of food separately?

    Who announces end of cocktail hour? How is transition handled?

    How is champage toast handled?

    When does it happen?

    How is champagne distributed?

    What are the circumstances that would cause the bar to close early?

    How long is dinner with salad and entree?

    How is cake distributed?

    Where is cake during reception?

    Where does cake cutting occur?

    Are lights always on? If not, when do lights get turned on and by who?

    Can favors be brought out at end or night? Or should they be on table?

    Is their an assigned waiter for bride and groom?

    When is last call announced?

    When do we have to leave the venue by?
