Questions for detail meeting with caterer

I'm in a similar situation - our caterer is doing all our food (obviously), plus bringing in our linens, doing our bar, etc.

I'm meeting with him in a few weeks and the one thing I know I'm definitely going to ask is when he'll be arriving to set up. His staff is going to arrange the tables and then put the linens on, so I want to make sure that's done before the florist arrives because she is putting our centrepieces on the tables.

My DOC will be there to take care of any issues, I just want to make sure he's aware of the plan for the day.

I'm glad you posted this , we are doing catering shopping this weekend. We are down to our final 4 choices and not sure what to really ask them .

I met with our banquet coordinator yesterday. I covered a lot of basic questions such as timing of hors d'oeuvres, dinner and dessert. I made sure that cake service is arranged along with boxing the cake. I confirmed their set up time and break down, if buffet would have servers, busing for the tables and discussed the beverages outside of alcohol. I confirmed how many bartenders we would have and how the would handle the wine, keg and cocktails. Another thing they said they always do is to make sure we (bride and groom) have a plate prepared for us so that we can take a quick break to eat. I also made sure to ask them what all we are responsible for with clean up. (Only decorations.) I asked what time our band could eat before the reception, ensured that our photographer would be able to eat after the major highlights of the reception and then confirmed what time our band needed to stop preforming. These are just a handful of things we went over.

Thanks for the thoughtful responses. I have met with the caterer a few times before we booked with them over a year ago and asked a ton of the questions but was looking more for the little detail questions I may overlook. Amanda your suggestion about the cake wrap up and how to arrange vendor meals has been added to my list!
