Opinions on my reception layout please

I received the tentative layout for my reception today and it’s different to what we had discussed. Our wedding is in the ballroom of a hotel with the ceremony first and then during cocktail hour they flip the room for the reception. We originally wanted the dance floor and dj at the far end in salon 4 and have the bar and cupcakes on the other end near the tables. The coordinator said due to time restraints they need to put the dance floor now in salon 3.


My concerns are:1. I’m not keen on the dj being on the side instead of facing the tables.2.People having to walk past the dance floor to get to the bar.3. The cupcakes way on the other side. Less likely to be eaten.4. Sweetheart table with the back to the dance floor, maybe better to the side.
What do you think? Anyone with experience in hotel ballroom weddings? Am I’m overthinking? Help!

    I have no experience with ballroom weddings but I don't think the DJ being on the side would be a big deal. I do agree the sweetheart table facing the way it is now would not be my choice set up but it looks like it wouldn't be too hard to flip it around into salon 1 facing the other tables and the dance floor

    I pretty much agree with everything she said. DJ positioning is not important. DJ is human and can turn to face the crowd if necessary.
    Flipping the seats around after dinner, super doable. And from what I hear, you wont be in them much anyway.

    Putting the sweetheart table to the side of the dancefloor and having it face the dancefloor and not your guests? That seems awkward to me, and also like a traffic flow block between tables and bar. If you move it, swapping the bottom left table and the sweetheart table makes the most sense to me. But I dont think its necessary.
    Im not saying the cupcake and bar placement are ideal... but I think if people want a cupcake or drink, they'll go get them.

    I think it all looks fine! If people really want a drink or a cupcake they'll make their way over there don't worry hahaha.

    DJ position looks fine, it's facing the dance floor! He can also turn to face the tables if he wants lol.

    The only thing I'd change is the sweetheart table, I do agree that's a bit odd to face away from the dance floor. Can you move it to the spot on the map that says "heritage ballroom" (like between salon 1 and salon 2 signs)?

    The sweetheart table is in such an awkward spot! What if they swapped the sweetheart table with the first table in the third or first row?

    The rest seems ok to me, I just feel like it's a little different to walk across the dance floor to get to the bar. That could just be me though.

    Yeah I’m not happy with that too. And I do have older guests who I don’t want to have too much hassle getting drinks.

    Also, with the bar, is it possible for the waiters to take drink orders too? Maybe just for your older guests?

    I don't see the DJ being on the side as a concern (our dance area is actually a separate "room" than the dining area, so our DJ needs to be stationed right in the doorway or in the room looking through the doorway, and needs speakers facing both directions to accommodate music and announcements/speeches).

    If there is enough buffer space around the dance floor, I think it's probably okay to have dessert and the bar on the opposite side. I agree it isn't ideal, but as long as people can easily move past the dance floor without worrying about being bumped into with their drink or dessert it can work.


    The biggest issue is the sweetheart table with back to the dance floor, but this can easily be rectified by just changing the orientation of the chairs after dinner and before dancing or shifting it towards the corner facing inward by switching it with one of the larger table spots. Or, even better, I'd have it be the table in front of the screen.
