No A/c in venue

FutureMrs.V, on May 9, 2018 at 4:42 PM Posted in Planning 0 18
I am now realizing how bad of a decision it was to have a venue without A/C. Our venue is an old Boy Scout camp with a beautiful dining hall. The windows surrounding the reception all open and have screens. There's also big fans on each side of the building that are built in. I'm making personal fans for my guests and will have water before the guests enter the ceremony, and then at every point after that. Our ceremony and cocktail hour are outdoors weather depending. The venue is very rustic and there won't be any cooking onsite, so the kitchen won't heat up the building. I'm stressing out so much about this and I'm so worried my guests will hate my wedding. I am getting married in Illinois this June. I can't backout of my venue and other than this problem, I love the venue. I get it from Friday at 8am until Sunday at noon. When I toured it, it was last June. There was a bride cleaning up from her wedding and she said it was amazing. It didn't feel too hot when I went there, but yet again there wasn't 150+ people in the venue either. Our reception will begin around 6, so hopefully it being the evening will help too. Does anyone have any suggestions on how else to keep my guests cool? Or have you attended/had a wedding where you had this problem? I honestly don't see it being any different than an outdoor reception. It will be cooler than outside because of the air flow. Just freaking out.

I was a bridesmaid in CA last August. It was 110 degrees and we wore ball gown style dresses (horrible). We had fans and water also. It helped a lot. She also had flip flops which were helpful because we were able to kick our shoes off and spray our feet with cold water lol. Either way it was still beautiful! I'm sure your day will be too!

I actually encountered this for my sweet 16 party and what my parents ended up doing was leaving all possible doors open and rented 2 fans especially for events like weddings they worked just fine. I am sure it will be just fine don't over think it. Also think of buying bulks of hand fans for your guest.

My girls are wearing long dresses with a slit, so they won't be too hot. I left the shoes up to them lol. I tried to be considerate of the weather for them. My dress will be extremely hot tho 😔

I'm making my fans out of old wallpaper books. They work really well. Thank you for the calming words!

Honestly, it will be very hot with 150 people, lights and dancing. Even with fans, it will probably be hotter inside than out b/c of body heat. Fans will help but outside always more airflow b/c the hot air has somewhere to go. BUT if you love it, you do you. People will probably complain, but people almost always find something to complain about at a wedding. Hopefully, your friends and family are there to support you and celebrate with you and won't mind getting a little sweaty.

You could look into renting electric AC units or "swamp coolers" (which is not actually AC but a fan which passes the air through ice first, so it gets cold). BUT check with the venue first to be sure it has the electric capacity to run that much stuff. Also, if you can find a cheap short dress before then, I would do it. Wedding dresses tend to be very hot and heavy. You can probably find a cute white sundress at Target at something, just in case you get really uncomfortable you have another option.

    Oh my.

I would look into renting large portable ACs. Hot guests are unhappy guests.

Sure thing, just make sure to have ice in a ice chest with cold waters or something like that so the drinks can be nicely cold. I am sure people won't even notice.

If you’re concerned, look into “coolbox”es ...they’re evaporative air coolers, kind of like a portable AC. You should be able to rent such a thing from event rental companies or at least tent companies.

But it might not be so bad— June weather can be hit or miss, so as long as there’s been circulation in the room during the day and it’s not just stuffy, it might be a non-issue. The time of day definitely works in your favor! Just make sure your guests have plenty of access to water so no one is getting dehydrated

I've looked into it, but the ones I've found the companies say they are way too loud for a reception. I'm going to keep looking. I'll look into getting a dress for later in the night as well. We have use of most of the grounds, so guests can go outside as they please. I don't want people to have a horrible time. I'm just feeling sick over it lately.

Try not to worry too much. It’s good that you are concerned but as long as you love the venue, that makes everything worth it. It probably won’t be as bad as you are imagining. Also, is there a reasonable amount of space between tables? If everyone is relatively spread out that will help a lot. Make use of fans and all will be fine! Smiley smile

I think you honestly just have to anticipate that people may leave early because they’ll be uncomfortable. Small fans aren’t going to provide much relief if it’s 90 and humid. Depending on how big the space is vs how big your guest list is is going to be a factor too.

I believe there will be a fair amount of space. The venue is over 4,000 square feet and can hold 250 people. I'm going to keep looking at cooling rentals to see if I can find anything. I should've thought it through more 😔

I agree. Be prepared for people to leave shortly after dinner. I can’t imagine many people being ok with dancing all night when it’s super hot inside.

I wouldn't worry! I think having some water bottles in ice would be a nice touch for people, but if there are fans running and personal fans, you are doing all you can! My cousin got married at our family ranch, it was about 80 during the ceremony and really sunny. It was hot, but they offered chilled wine & water and people didn't seem to care. The reception was under a tent and as soon as the sun went down, it was totally fine!

I'm bringing out more fans once dancing starts as well to put on a couple corners of the dancefloor. They will be out of the way, but will help

Just a quick update- I'm reaching out to a few a/c rental companies tomorrow. I'm hoping I can find something in the $500-$800 range to help my guests stay cool. Even if the a/c worked with the fans to keep guests cooler, id be happy with that. This is a stress I really wish I wouldn't have put on myself.
