Negotiating Venue Contracts

I'm slightly disheartened and concerned after reading through our vendor contract. After reaching out to 40+ venues to try and find a space that checks all the boxes my fiancé and I want (amazing scenery for first look, a Sunday before a Monday holiday, reasonable pricing), I thought I finally found the perfect ideal place! The venue is breathtaking and while the price / plate is slightly over what we were initially planning on spending, they have discounts for the day of the week and month of the year which put us roughly around what we wanted to spend.


I received the contract last night and they have all these stipulations and hidden costs. I specifically asked the coordinator on the phone if they had any additional costs and she told me no.


The venue wants to charge us to arrive any earlier than (1) hour before the scheduled event (not ideal for us wanting to do a first look), use of the bridal suit earlier than scheduled, the use of another space for our guests, and, the biggest kicker, security guard because we're planning on having guests under the age of 21 at our wedding (which will be no more than 10 kids at MAX).


Also, I'm not a fan of their COVID clause. They state that a new date will be arranged between both parties, but it does not state if it will be a comparable date nor does it state that if both parties cannot reach an agreement that the client (myself and my fiancé) will receive our full money back.


Curious if any other brides / grooms out there have negotiated contracts and asked for things to be removed or redlined so it's more reasonable for us?

    The covid clause is absolutely something you need to get more detailed in writing. You need to ensure that if your date is forced to change, that they will not make you change it to a random date of their choosing, and that they will honor the original financial agreement if you choose a comparable date. Many, many venues increase their costs each year and you don't want to be stuck with a higher bill than you originally budgeted for.

    If there are things your would like to change or remove, it never hurts to go back and ask! I’m sure they have a pretty standard contract template that is the starting point, but they could be willing to make changes for your specific situation (I.e. forgoing security based on your guest count, for example). However, I will say that most of the things you called our are pretty standard terms I’ve seen from a lot of venues, particularly the COVID date change clause. You just have to decide if any of these are deal breakers. If you’ve talked to 40 venues already (oh my!!!), none of them seem overly punitive to me. Good luck!

    Yes. Any contract can be negotiated and you should always ask. Independent venues being more likely to work with you. We made some changes to ours (specifying included items/services and time we have the facilities for). Realistically, they are unlikely to agree to a COVID clause providing a full refund; typically a venue will never return the security deposit (many posts here about people who lost these due to COVID) but they should be willing to agree on a new date of similar quality (ie. same day of week).
    As to security guard, I’ll say we were required to have one at 90% of the venues I looked at.
    If they are really trying to nickel and dime you, then that might be a sign it is the wrong choice. It won’t matter how great the venue looks if they make planning and day-of miserable for you. Good luck!

    It is pretty common for venues to charge extra if you want to use multiple spaces or want access to a space sooner. We had to pay extra to use the bridal suite at our venue and the lobby for the ceremony. If we had wanted to use the lobby for cocktail hour we would've had to pay extra for that as well. It is more to use an extra space because they can't use that space for another event. You can definitely see if they are willing to forgo any of the extra costs or discount them, but they might not be willing to change their standard costs. As for the Covid policy, most venues have a non-refund policy so it is very unlikely they would be willing to refund you any money you give them. But you can definitely ask them to add more specifics like locking in pricing if you have to move the date.

    Was the space and arrival time specified in the original contract? If so, and you are asking for additional time and more space, I don’t see how that would be considered a hidden cost. That is simply wanting something in addition to what was agreed upon.
    It is very common for venues to have only certain areas of a venue available within certain price ranges. Additional space = more $. Also with arrival time. An employee will have to start their work day earlier and open/prepare/clean up afterwards any additional space. That too will cost more money.

    That's for all the advice! I really appreciate the thoughtful comments. Definitely a lot to think about. I'm going back to get more clarification on a few things and see if I can get some sort of compromise.
