Mailing deposits? Yay or Nay? Options?

A., on January 22, 2018 at 10:18 PM Posted in Planning 0 18
Hey all, wondering how you guys feel about mailing checks/deposits to vendors? How long does it take to get to your vendor before it’s confirmed?
Do you add certified mail or insurance when sending checks?

Thanks!

I've mailed checks (regular mail, no tracking or certified mail or anything special) to all my vendors for the deposits and so far it's worked out great. I told them the day I put the checks in the mail and then asked them to contact me once they were received, and so far all the vendors have. I like making a copy of the check and attaching it to a copy of the contract for my records, and I also have a spreadsheet that I update with the vendor, deposit amount, check number, if/when it was cashed, remaining balance & when it's due.

I usually use credit cards for everything but I had 1 vendor that only accepts checks. I emailed her the day I sent it, asked her to email me when she got it which she did 2 days later, and kept a copy with the contract as well. Didn't track it in anyway and it was fine. It's not that much to add tracking if you decide to do that though!

I had two vendors who charged extra to use a card so I mailed the check. No problems and I wasn’t worried because it was made out to the company so no one else could cash it. I asked for confirmation it was received and everyone got it with four to five days

Only 3 of our vendors wanted checks for the final payment. I made sure to email them the day I sent it out so they could keep an eye out; they each replied once they recieved the check.

Most of our vendors wanted credit cards, which is great because it adds another level of protection. The rest we paid with e transfers- no checks to get lost in the mail and proof we paid.

We overnighted our deposit for our photographer. We met with our DJ to give deposit, and paid via credit card for florist.

I've never mailed and I wouldn't do it (that's just me though) also all my vendors are local so I don't have to mail, I do all my payments by cashier's checks.

I don't know what would make this any different than mailing a check to pay a bill. I do that for certain things every month and I never do certified mail. I'll know when they cash it. If you're worried about knowing it got there, you could do certified mail or get tracking, or as other's mentioned just ask them to confirm they received it. How long your mail takes depends and it depends on them how long they take to deposit it.

I had 4 vendors that wanted checks. Like other PPs have said, I would email them the day I mailed the check and ask them to email me when they received it. All did. It usually took about a week for them to get it and cash it. There's no need to send it certified. In fact, it might take longer because if they're not available to sign for it then that will delay things. They then have to go to the post office when they can find the time.

I emailed a contract to our planner in Colorado (live in Minnesota) and then mailed the original, signed contract with a check. She just replied to the email when she got the hard copy, plus I was notified by the bank when she cashed the check.

I’ve sent most of my deposits by regular mail and haven’t had any problems. A couple vendors told me when they received them and deposited them a couple days later. I had one vendor who didn’t deposit it for about a month but who had told me she received it.

Is it possible to do it electronically? My venue says on their website & on the contract that they accept payments via mail or in person but when I asked if there was an electronic option they were able to send me a quickbooks invoice that I was able to pay online.

Only one of our vendors required payments by check (the rest were all online invoices/payments). We sent the checks via Priority Mail (with tracked shipping), notified the vendor the day we put them in the mail, and asked them to confirm when they received. The tracking numbers were fine for confirming delivery, but we just wanted to make sure everyone was on the same page.

I had to mail 2 checks for my wedding so far. The first one I sent regular first class and it took over a month for them to get it. The second time I priority mailed it and it took 3 days for them to receive it. Definitely do priority mail so you can track it.

We did email money transfers for all of our vendors. sometimes had to do over a couple of days because of limits to how much we could send in a day, but none of our vendors had issues with this.
