Last minute touches: Welcome Bags

Jana, on August 24, 2020 at 4:34 PM Posted in Planning 0 17
Are you planning to distribute these to your out of area guests? If so, how are you making sure guests receive them? What are you including (in general or specific to your area)?

I am giving welcome bags to the hotel (who agreed to distribute them as guests check in), so anyone staying in the room block will receive one. We are including water bottles, a deck of cards, snacks (specifics still to be decided), a map of the area, sunglasses, and a welcome note with recommendations of places to go, the address of our venue, and ceremony start time.

We are having a destination wedding & thought gift bags would be a nice way to welcome our guests. We will be arriving 1-2 days before everyone else, so we plan to give the welcome bags to the hotel staff and they will place them in each guest’s rooms before they check in. Each guest will receive a hangover kit (bottle of water, Excedrin migraine, and a Bloody Mary in a can), a coffee mug and bag of coffee from a famous coffee shop there, some sort of local treat, brochures and coupons for local attractions, and a typed thank you letter and itinerary for the weekend.

Yes, we made welcome bags for all guests who stayed in our hotel block. They were handed to guests directly by the hotel staff when they checked into their rooms. They had water bottles, various kinds of snacks and candy, an emergency hangover kit, and a print out with a note from us. We did not include anything specific to our area, just regular snacks like kind bars, cheeze-it crackers, pretzels, mentos, etc.

Our plan was* to leave them at the hotel where we booked the rooms. They charge a fee to bring them to the rooms, but they will give them to people during check-in for free. We were going to include bottled water, a muffin or something a local farm, mints, and a salty snack like chips. We would also a little card with the time and address of the wedding and the brunch the next day, as well as a list of things to do and places to eat the night before (we planned a small rehearsal dinner, so most people were not invited) and morning of the wedding.

*I realize that "was" makes this sound kind of depressing. No one died and we still got married and are having a big reception next year, we just had to change the way we did/are doing things because of covid. I still think our welcome bag plan was a good idea.

That sounds like a great selection. Good to know the hotel is working with you on that.

It is a good idea. No reason to pay extra to have them already in the rooms. Love the itinerary including a brunch afterwards

We did bags for everyone on the property and in our hotel block. Here is what we included. Most items came from a big box membership warehouse.

Exactly, it was free if they handed them to guests upon check in at the front desk (the hotel would have charged a fee to place them in the rooms). The bags themselves were very inexpensive to make as well since we bought everything in bulk

That covers most everything and you can't beat the price.

I want to do welcome bags for our destination wedding but we don’t have a hotel block. Our guest list is very small and we couldn’t guarantee the minimum number of rooms for the block. We gave suggested accommodations in the area.
We are trying to work out if we can do a welcome dinner Friday and possibly give welcome bags then for those that come. Some guests may not come until Saturday morning since our wedding isn’t until 3:30 and some only live a few hours from our location. Any suggestions I am open to!

Hmm if the hotel isn't an option, the welcome dinner would work. But that only covers those who attend the dinner. Good question though.
