Keeping track of Rsvps

Alyssa, on May 20, 2019 at 7:35 AM Posted in Planning 0 13
We will be sending out our invitations next month and I was wondering how all of you plan to keep track of your RSVPs when you receive them. I'm not sure what the best thing to do is, should I make a list before I send everything out and track it that way or as I get then make a list of just who is coming? Appreciate the advice and hearing what everyone is doing!

We have an Excel spreadsheet with all of our guests names, addresses, etc. We will just update the spreadsheet with a yes or no as we receive the cards. You can also use the WeddingWire guest list feature to track.

We also have an Excel spreadsheet with all of our guests names, addresses. We will be putting yes or no and how many next to each name as the rsvps come in

Personally, I hate working with Excel. I can use some of the most outdated, balky, illogical software at work, but Excel and I don't get along. So I'm keeping track of my guests in a spiral bound notebook that my FH surprised me with for wedding planning. I just wrote out each couple/family and have 3 columns: STD, invite, RSVP and I'm just checking it all off as I go.

Our wedding website is made through Zola.com with our guest list attached. We are asking everyone to RSVP online so as everyone RSVPs our guest list automatically updates "yes" or "no".

I have an excel spreadsheet that I plan to use. I also plan to put a small number in the corner of the RSVP card so I can track them that way too, just in case I can't read handwriting, someone doesn't fill it out, etc.

I have an Excel spreadsheet as well. It has all the guest info, and I have a formula set up for totals for adults and children. My venue is priced per person so I also have the formula for number of guests multiplied by per person price so I can have a running total of the cost. It's also nice because I have columns to enter shower gifts and wedding gifts and if I sent a thank you card so I can keep track of all of that as well. I like having everything all in 1 place.

I have a spreadsheet that I am marking everyone as yes or no. Then I have formulas so that as I enter, it counts the yes’s and no’s and have another formula for food purposes. This way, as long as I enter the yes and no correctly, I do not have to tally up for anything else!

I have my wedding website through the Knot which also has a guest list tracker so I entered all of my guests names and as I get RSVPs back I mark whether they are attending or not. Weddingwire also as a guest list option. We also asking people to include if they have allergies, a song request, and if they are attending Sunday breakfast. I have Excel spreadsheets to keep track of that info.

You can number the envelopes so if they send a response without the name you know who it is! I would make a list and keep it organized that way

We numbered the back of each one and put the corresponding number with their name on an Excel spreadsheet. Next to their name is how many from that party will be attending, and the song they want to have played at the wedding (there is a line on the RSVP cards for a suggested song).

Great, thanks for the advice Smiley smile I already have an excel spreadsheet with all that info I used for the invitations. I'm not sure why it never occurred to me to just add on to the same sheet.

I'm far off from receiving RSVPs but I have an excel spreadsheet to keep track of everyone (if you're not good with excel there are excellent free templates online!). I also heard a trick of numbering your RSVPs on the back to match the line the guest is on your excel spreadsheet, this way if people send back RSVP cards without a name it's very easy for you to find out who they are without having to call your entire guest list. I hope this helps!
