Is it worth negotiating menu prices with your venue?

I booked with my reception venue in February 2022 for our wedding in August 2023. The venue handles catering (drinks and food). We signed a contract with a minimum spend but not much else in terms of details. The catering package they provided us in February had dinner starting at $55/person, bottles of wine at $28, beer at $5.6ea. We chose this venue because it was one of the most economical in our area. The menu has now changed twice, and as of the update we got last night, dinner starts at $72/person, bottles of wine are $38ea, and beer is $7.5ea. I expected increases due to inflation and general rising food costs but I budgeted for around 10-15%, and these changes are around 30% more! We are now going to be way over our budget (our guest list is 150).


Now my question: is there any point in trying to negotiate with the venue on their menu prices? The contract is silent on this, and we just have a minimum spend of $19,000, which we would have met in the previous menu prices anyways. I know from friends that all venues have increased prices a lot since COVID and with inflation, this venue isn’t the only one. If they’re not going to budge it seems like a) a waste of my time and b) could sour the relationship which I worry might impact our day. But if there is any chance of reducing the prices it could be really worth it, as we are feeling really strapped with all the price increases we’ve experienced over the last year.     I know you said your contract didn’t have details outside of the mandatory minimum, but did it by any chance include any kind of cap on price increases (like not to exceed 5-10%) or have a specific date when the prices would be locked in (like 6 months prior to the wedding)? If not, you might be stuck with the prices, but it never hurts to ask. My venue has the same structure (minimum spend, all menus we were provided said prices subject to change), but we did have a date cutoff on prices because that’s what our venue uses to calculate the remainder of our payments. At some point they have to give you a final invoice, and that’s impossible if they change the price right up until your wedding date. But even if you can’t negotiate the price, they might allow you to negotiate what’s included to knock the price down, for example decreasing the number of appetizers during cocktail hour, downgrading the alcohol brands, switching from open bar to beer and wine, etc.

    No cap unfortunately Smiley sad thank you for the suggestions on changing up the appetizers etc, I’ll see what we can do there. We’re already at the cheapest beer and wine, only offering singles, no shots etc. Highballs are the same price as beer. Very much appreciate your feedback!

    I don’t think it will turn anyone at the venue off to politely say you’re surprised by the 30% price increase and ask if there is any way they can work with you under the circumstances. The worst they can say is sorry, but no.
