Is it time to fire a vendor?

Hi all! I am reaching out for some advice. My fiancé and I booked a photographer back in the fall for a May 2021 wedding. I was finishing up school in the city where we are getting married so I wanted to get things done before I moved out of the area and started a job that would severely limit my ability to travel over weekends. I initially reached out to our photography company in January to set dates for an engagement session sometime before May. Since my fiancé and I were doing long distance there were only going to be six times over the rest of the semester where we would be in the city where our photographer was before I moved in May. The company promised to forward the email to our specific photographer. A month and a half went by, still nothing. So I emailed the company again, saying we were ready to schedule our engagement session. This time when the company replied they CC'ed the photographer for our event. No reply. Another week goes by and I send a follow-up asking for her availability. Two days later she replies and after one set of back and forth emails over the span of another week we settle on a date for the engagement photos in early May.

Fast forward to April. I emailed the photographer almost two weeks ago wanting to touch base since I thought it was unlikely we would be able to take the pictures when scheduled based on our stay-at-home orders in my state. I still haven't heard anything and the shoot is now less than a week away. Most people I've asked say it is time to cut my losses and find another photographer, but that leaves me out close to $800 since the contract states the deposit is non-refundable. Am I being too harsh wanting to find another photographer? Her photographs are beautiful, but now there is a serious lack of trust due to the lack of communication. I also don't know given everything going on if I should cut her some slack for this latest lack of a reply. Please let me know your thoughts! Thank you!

    I'm assuming if you signed a contract with her that you have her phone number by now, correct? I would give her a call tomorrow early afternoon and voice your concerns and see if the price of the deposit can go towards a future date due to the pandemic and concerns for both of your health. I would stay friendly until it really seems like they are fighting to keep your money in an unfair way.

    Unfortunately I don't have a phone number for her, just the company she works for. The contract I signed wasn't specifically with her but a company that manages several photographers. They gave us a bunch of portfolios and we picked her as our photographer from the group and then the price we paid was based on her background. But maybe I will do this with the company! Thank you for the idea!

    You are not being too harsh. You need to be able to fully rely on your photographer and they need to be committed to making sure the pictures come out well. We lost $1,000 to our first venue for similar reasons but it was worth it to cut our losses. The fewer people you have to worry about chasing for details the better.

    I would reach out to the company again as you mentioned above and discuss your concerns. Photographers can basically answer questions anywhere, so while we are in a unique situation with the virus, a quick response shouldn’t be too difficult just letting you know whether it’s rescheduled or not. I booked my photographer and we were going to start discussing dates in the fall and she let all of her clients know that there probably won’t be a response due to all of the postponements/cancellations she’s going to be dealing with and wants to make sure she can honor as many couples that had booked with her as possible. So we are just waiting around a bit, but we at least know where we stand. Your photographer should do the same for you.

    I would call the company to see if they could provide you with her number so you can get ahold of her. But the way it’s looking I would cut my loses, if she’s this flaky and hard to contact to get engagement pictures taken, I wouldn’t want to see how long it take to receive them or even wedding pictures if you do choose to stay with her.

    Thank you all for your input! My fiancé and I talked it over today and decided we are going to meet with some other photographers whose pictures we like more and go a different direction with the photography. It stinks to lose the $800, but at the end of the day it is a small price to pay to be confident we will get photographs we love!
