Instacart and Ice Delivery for Reception?

Maggie, on March 19, 2021 at 1:09 PM Posted in Planning 0 9

Hi!

We are just about 2 weeks away from our wedding! I'm trying to finalize every last detail, but the one thing that is keeping me up at night is how do we get ice for the reception! We are having the ceremony/reception in a barn next to an inn. There will be about 22 guests. Our caterer does not provide the drinks or ice. My two ideas so far are to get a grocery delivery to the barn the day of the wedding for drinks and ice, but I'm concerned that it won't get there on time or it'll be awkward somehow. The other idea I had was to fill balloons with water and freeze them ahead of time, then day of my fiance and the groomsmen can just pop them in a cooler and take the cooler with them to the venue. We only live about 10 mins away from the venue and the guys are all getting ready in our apartment right before. Do you think either of these ideas will work better than the other? Any other suggestions? Thank you!

Ask the caterer how ice delivery is done for past events they have done.

My husband bought bags of ice the morning of our wedding and dropped them off before the ceremony. Granted we had a freezer onsite to keep it cold until the reception started.

Can you assign someone to drop off ice bags in the morning? Just buy them the day before or something and have someone drop it off real quick, assuming there is a freezer on site...

No balloon fill up. Bring 2 coolers, and put 2-3 bags of ice in each about 3 hours before the wedding, before the guys get ready .

This. Have worked many picnics and other events where this was done. Keep the bags intact until they need them.

I agree with Judith and Michelle. Definitely avoid filling balloons - latex sensitivities and allergies are very real and you might not be aware of them in your extended family or your friends. If you filled balloons, no one with a latex sensitivity/allergy would be able to drink anything.

If you can fill balloons with water and freeze them shouldn’t you be able to just buy bags of ice early and put it in the freezer? Then groom and groomsmen open the bags into the coolers day of.

Thanks everyone for the input! Fortunately, I took a second look at the company that is providing the heater rental and found that they actually provide ice and coolers! So, we just added that to our reservation and crisis averted!
