important - save your guest List! Export early, export often...

Jonathan, on April 13, 2022 at 9:56 AM Posted in Community Conversations 1 5

I recently encountered an issue with my WeddingWire planner guest list that almost ruined me. I had 125 guests RSVPd as attending and all with meal choices ready to give our caterer next week. When I first started using WeddingWire, I hadn't bothered using the seating chart feature, but this week I got curious and wanted to see how it worked. To do that, I went into settings and clicked the check box to to turn it on. After playing around with the seating chart tool for a bit, I decided I really did not need it after all, so I went back into settings and unchecked it.

When I went back to my guest list, TO MY HORROR, I found EVERY SINGLE MEAL CHOICE was BLANK! I was flabbergasted! I don't know how/why it happened. Maybe I unchecked 'track meals' accidently at one point?? i dunno. Anyways,

Just saying, the only thing that saved me from starting from SCRATCH, embarrassing myself by tracking down all 125 guests, was that I had an exported copy of my guest list from about 3 weeks ago. With it, I was able to recover at least 78 out of the 124 guest meal preferences. ALSO, I archived those little WW inbox messages that tell you "[someone] will be celebrating with you..." because they also tell you the guest's meal choice.

MORAL OF THE STORY: Make habit of EXPORTING your guest list often and ARCHIVE those annoying system messages that tell you someone has RSVPd. You'll be super glad you did if you accidently break something on this website like I did :#]

Thanks and Best Wishes to All!

This is a great tip. Kind of like saving your documents regularly. Thank you for sharing your experience and I'm really glad you had saved the emails and the previous export file.

Thanks for sharing this! I am such an OCD person, I made my guest list in my notes and literally copied and paste to the guest list here. Glad you were able to recover most of them.

I would recommend having the master list on Excel. It's a lot easier to track everything since you can add the columns you want/need.

That is a very good point, Emily! I do like the summary feature(s) available here in WW, though with a little bit of formula manipulation I could prolly get the same results in Excel, just not as pretty (like the meal totals for the caterer and other tallies like how many adults vs kids are attending etc)
