How to Organize Set-up & Take-down of Wedding Reception

Hi wonderful wedding helpers!

I am planning my wedding for March 2019 and we are trying to do as much on OUR end as possible to save money since we are both teachers. We found a great deal on mixed china plates and goblets from one company. A fantastic deal on farm tables & farm chairs from another company. And an awesome deal on flatware & linens from another company.


Now that we have all of that information I need some help with the organization. We are going to hire a day of planner and all of the companies mentioned above to drop off and pick up. But who actually sets up the table setting? Does the day of planner? We have a food company that comes with servers. But I'm still confused on some of these other details. Any advice is SO HELPFUL.

ps I'm getting married in Phoenix AZ and no our venue only has a industrial kitchen but it doesn't come with anything else

    I honestly think it depends on the company (I know! Great answer!) haha. But in all seriousness, our table and chair rentals are through the venue, and they set those up. Everything else table setting wise, is through a company our caterer uses and so the caterer sets that up. Our caterer also comes with a DOC.

    I would just call each company and ask how they usually do this, and if there is an extra set-up fee?

    I would specifically look for a day of coordinator that includes set up and break down in their contract.

    That's something our day of planner and the venue are doing. Is that in their contracts? If not I would read and talk to venue about time you can start setting up so you can best get it done

    It really does depend on the company and the timing of dropping off and picking up. It is important to make sure that the tables and chairs are delivered and set up first (which that vendor should do), followed by linens, and then tableware (plates and glasses). A day of coordinator can help set up if you explicitly ask them to. You may also be able to negotiate something with your caterer if they are brining staff. There is usually some down time while they are waiting for the ceremony and reception to start, so you may be able to add that to your catering contract. The day of coordinator should ensure that vendors do what is said in the contract. If something doesn’t get done, it is the day of coordinator’s responsibility, not the bride and groom’s!
