How to Let Guests Know About the Hotel

So our wedding is a good hour or more from the majority of our guests. We booked a room block as well as transportation to and from the hotel. We only have until the month before our wedding for guests to book through the room block. I have a section of our wedding website explaining all of this. However, it seems that not many people are actually looking at the wedding website because some of our guests have asked about the hotel situation and are surprised to hear about the transportation. I was planning on putting all of this information in an extra card inside the invitations, but I'm nervous that won't give people enough time to book their room. Has anyone else been in this situation before? Am I just being crazy because I generally book things way too far in advance?

    We have a details card with our invitations that will have that room block information. For now those who have asked me about the room blocks i just send them a link to my wedding website.

    AD, does your room block expire? After Sep 14th our guests can't use the room block which is what I'm nervous about

    Ours expires a month before the wedding. We put the cards in the STDs and in the invitations. The info is on our website, too, and we've been telling people as we see them. That's the best we can do!

    Oh man I already sent my save the dates and didn't think to put in an extra card. I have the wedding website on the save the dates but no one is looking at it apparently haha

    Mine expires a month before as well. I'm sending invites with a details card stating the May 31 deadline for the hotel, the end of April (like 9 weeks before wedding). I also made the RSVP a week before the hotel deadline as caterer needs numbers a month before and I want a week to chase people if necessary.

    ETA: does your rate come with a hotel block manager?. I can login and adjust anyone's reservation/get a list of who has rooms. This way on eve of block going away I'll check for VIPs or people who I know are coming and reach out.

    The hotel block expires May 30 a month before. Our invitations are going out first week of April so they get two months to book it. If people dont book on time im really not stressing it.

    Spread the information by word of mouth. Our moms reached out to those that definitely needed a hotel to get them to book early and I texted our friends. We also had it on our wedding website and an enclosure in our invitations

    Hi date twin! I am including an enclosure card with accommodations on one side and a map of the ceremony and reception location on the other. If you send your invites about 3 months out that should be plenty of time.

    On your website and In the invites is good. You have the rooms blocked so it's not like the hotel will sell

    Out or anything. If anyone asks you I'd give them the info.

    The hotel might actually sell out, we went and set up our room block exactly 1 year prior to the wedding and there were 6 weddings using that hotel. (So essentially the same weekend this year is bound to have at least a few weddings using that hotel) There are other hotels down the street in case. I guess if I send out the invites with deadlines and they don't book it it's not my problem. I'll make sure the VIPs and friends know about the deadline. Thanks everyone!!

    I have a room block manager but it's not as detailed as yours I can only see how many rooms have been booked.

    Typically with a room block you have X number reserved for your group then they release any remaining after the deadline. So you don't need to worry if it sells out because you have those rooms already. If a guest doesn't make the deadline they can find other accommodations themselves.

    We also emailed some of our friends. We knew that rooms were running out on our block far ahead of time and that it's a busy golf time in NC, so I emailed a bunch of my friends just to let them know the room block was filling up!

    We put the room block info on our website, and on the back of our STDs, I put the link to the website, but I specifically mentioned to visit the website for hotel information. We again included the room block info on our details card that had a section for accommodations (a reminder about the room block info), a note to visit the website for more details at the bottom of the card, and then the backside of the card had directions to the venue, which is the hotel where the block is.

    Our block also expired a month before our wedding date. I made sure our invites went out right at the 8 week point so guests had exactly a month once they got the invitations and saw the room block info again (hopefully it was a good reminder to book a room if they wanted one).

    I did have guests ask me if there was a room block or if they could get the hotel info. I sent them a link to the website or sent them the phone number to call and the group code, depending on how they phrased the question and just didn't act like it was a big deal.

    Most include a small accommodations or details card in the invitations. Here is a common wording:

    "For your convenience, a block of rooms have been reserved at {Hotel Info, booking link and phone number}

    Please reserve your room by {deadline} and mention the BrideLast-GroomLast Wedding to receive the discounted rate"

    For shuttles or other transportation:

    "A Complimentary shuttle will be provided from {time}"
