How to get final headcount?

Jr, on September 24, 2020 at 5:32 AM Posted in Planning 0 11
Do I need to contact everyone and get a headcount or can I break it up for a few of my bridesmaids do to help me? How far in advance do I need to do this? My wedding is a few hours away so I think most people are getting a room. Im canceling my group rates oct 10th so i dont have to pay for them. My wedding is nov 21st

You’ll get the headcount once you receive all

How far in advance is based off of which vendor needs it the earliest. Our decor people needed our final headcount 21 days before. So I put or rsvp date a month before the wedding, so I could then have time to track down anyone that hadn’t replied

Did you not give your guest a “rsvp by” date?

If the RSVP date has passed, start reaching out to your guests who you haven't heard from. Otherwise, wait until your RSVP date. You can also put out a "last call" reminder for the hotel room block if that "book by" date is approaching.

Your final headcount would be determined by your RSVPs. When is your RSVP deadline? I would assume a few weeks off since your wedding isn't until November?

You get your final headcount once you receive all of your RSVPs back. Your venue and/or caterer will advise you when they need your final headcount. Mine was due around 2 weeks before my wedding.

Are people not responding to online RSVPs or do you not have access to them? The point of RSVPs is that you don't have to reach out to everyone, only those who didn't respond.

I have the same questions as everyone else. But also, if you do end up with a large list of people you need to contact directly (because they haven't RSVP'd by the deadline) I would not delegate this to your bridesmaids. You and your future spouse know all your guests and this is really a job for you two.

My husband and I set an RSVP due date for our guests that we put on our RSVP's. If we didn't hear from them by our date, we gave it 5 additional days before we starting contacting them (because our RSVP's were sent in the mail inside our invitations and we wanted to account for the possibility of slower mail or guests who mailed their RSVP's last minute).

If you don't have an RSVP date deadline, or if you need an updated number b/c of COVID, I'd put it on your wedding website if you have one, and just let your guests know to re-RSVP on there so you can have an up-to-date headcount for your venue and vendors.
