How much does it cost per person?

FH and I really need to cut our guest list a little bit more, and he's been having a tough time with it. I was hoping the price tag would help him a little bit.

Besides the cost of food and drink per person, what other costs would go down? I thought of chairs for the ceremony (although we don't have a quote on that yet), and favors which we probably aren't doing anyways.

    F&B is really where you save $. Sure, you’d save the cost of an invite and thank you card, but that’s negligible.

    Everything is pretty minimal after food and alcohol. Do you have your venue and/or caterer yet or are you trying to just guess on numbers?

    Think of it in terms of tables. For every 8 people you cut, you also eliminate the need for a table, chairs, linens, dishes, centerpiece. You might even save in staffing since # of servers will depend on headcount

    For us, for each additional guest, the cost of food, beverage, tax and service charge is about $155. When a family of four is suddenly going to cost more than $600, it was easier to get people on board about not "adding a couple of guests."

    The more guests you have included the following:
    - More tables
    - more centerpieces
    - more linens
    - more plates/silver if your renting that
    - More chairs
    - More Invitations
    - More Save the Dates
    - More favors
    - Food and Beverage Per person
    - Larger cake

    Also, don’t forget about things like service charge, and tax and gratuity. All of those things are based on percentages, and they go up as your f&b does.

    Postage, invites, potentially any transportation and lodging you were covering, blocking off.

    Favours, napkins, invitations, STD, thank-you cards, etc. The list could really go on.

    Lots of things are dictated by head count but definitely depends on how many details you're opting for - save-the-dates, invitations, RSVP cards, menus and programs if you're doing those, escort cards, centerpieces, transport costs (if you are covering that; we will probably not have room in our budget for this), cake/dessert (although my baker recommended I order 150 slices even though I quoted her at 175 because apparently a ton of people don't eat the cake), definitely the chair rentals and then any aisle décor you're using if it's per row, welcome bags if you're doing those, table linens if not included, chargers or any other table décor, champagne toast if you're ordering that separately, and finally if you're having a room block, you could be on the hook for paying a percentage of unsold rooms if you expect a ton of people and end up needing less than you thought.

    It's a hard, uncomfortable truth but the best way to save significant dollars is to cut some guests and eliminate the food and drink cost- start with anyone you wouldn't go out of your way to make plans to see on another occasion. That said, you can save a reasonable amount by cutting some of the items listed above and as you said, favors, and can invite more people.
