How much beer and soda?

The venue that we're almost definitely going with requires that we use their wine (it's a vineyard) and that we supply any other alcohol; it was also recommended that we provide soda instead of using their catering for that. No problem. We are just trying to estimate costs for this and are having trouble figuring out how much we'll need of each.

We're going to invite around 250 people and assume that closer to 200 will come. Maybe 30-50 won't drink alcohol or will have very little. The rest will drink average to heavily.

We want to have a variety of beers (so no kegs) and probably 3-4 kinds of soda. Champagne for the toast. Has anyone had a reception around this size or have guesses as to how many cases of beer and cases of soda we'll need? Thanks!

    I see you are hburg are you getting at cross keys vineyard, we did and we had to purchase beer also, we had only 90 guests and we got 9 cases of beer and that was too much.

    We would not change a thing. We reneted the whole building and our wedding was beautiful and flawless. Nicole and the staff rock!!! Maria was our night of event catering manager and I tell you what we could not of wished for anything any better. The staff of scrumptious suppers will cater to your guests like you guys are movie stars. We used cobalt blue and silver and it was gorgeous against those dark hardwood floors.

    Nicole is so easy to work with and will let you just do about anythign you want as long as you dont tear up the building in anyway. We used nathan king as dj and he also made the ngt there. he works with cross keys alot and it was just a perfect package

    @Angie, we met with Nicole on Saturday and she was wonderful. Once we get some catering questions and things out of the way, I believe we will be nailing down a contract because I LOVE that space. We're probably only going to rent the bottom floor since our wedding will be in a church in Harrisonburg. Can't wait. Smiley smile

    Karen if you have any questions or concers about anything related to the vineyard or catering dont hesistate to ask. and I would secure the date as soon as you can, our initial choice was booked a year in advance that is why we went with friday.

    Angie, I have so many questions! Most of them I already sent in an e-mail to Nicole this morning, though. Was there refrigeration (or sufficient refrigeration) for the beer that you supplied?

    And what was the cake situation? Did you have it delivered at a certain time, did you pick it up, and how long did you have it sitting out? (I still need to pick a bakery, so whoever I pick might be able to answer those questions--we're planning on having a small wedding cake and then doing sheet cakes for the rest of it, so those would need to be somewhere out of sight).

    What i have seen as a typical range for 20 cases is $250-$650 Depending on the beer. Some places will do returns on unopened cases, But look into that before you buy. If you figure only 150 people drinking, and each only have 6 bottles of beer you are still looking at 900 bottles.And this is a low count.

    I would get no less than 1500 bottles So you can have enough for those that you are aware of drinking on an average to heavy. So i would go with 63 cases of beer.Yes it sounds like a lot, though that would be 10 beers per person at 150 people.

    For their Grain Belt your looking at about $1400 for 63 cases.They have great prices on alcohol there as well. So if you mixed beer and alcohol you may be able to save some money.

    @Moore's, thank you! We definitely plan on getting more alcohol than we need (we don't mind drinking it when we get back from the honeymoon). Smiley smile
