How many hotel rooms to block?

Steph, on July 9, 2017 at 12:42 PM Posted in Planning 0 7

We started researching hotel blocks this week, but aren't sure how many rooms to block out or hotels to block at. A conservative estimate of number of rooms is 40 and high estimate is 60. We're inviting around 190 and about 140 are OOT, mostly couples and some families. We found one hotel that will hold 40 rooms for us, with a $40 discount of their normal rate, which makes the price better than similar hotels in the area. They said if more than 40 rooms are booked, they'll extend the discount as long as it's booked before the cut off date.

Is it okay to just have a block at one hotel or should we add a 20 room block at a second hotel? If people want options, they don't have to book through the block, but most weddings I've gone to have at least two hotels, so I wasn't sure what was appropriate.

Thanks!

We only blocked ten rooms at our venue and informed our VIPs right after that. The block is filled now and since everyone is an adult, they'll find other places to stay if they feel like staying. Smiley smile

We have about 20 rooms blocked between two hotels and have about 75 guests on our guest list. We were able to get all of them as courtesy blocks (no charge if the rooms aren't booked) through our venue!

Thanks! The other thing I forgot yesterday is that our venue is in the suburbs, so there are two ranges for hotels, either (what I'd consider) average, or a cheap motel.

So, while everything I read online recommends two hotels at different price points to provide options, since everything within a reasonable distance and quality is similar in their standard price and discounted block price, we're having a hard time seeing the point of two hotels since they won't be substantially different.

We didn't have options. The hotel will only hold 15 rooms first, then when they fill up and more rooms are needed & available, more are added then. It makes sense. It's a courtesy block so doesn't make a difference to us as long as they provide enough rooms for everyone who wants one! I have a feeling we'll need more, but I'm not too worried since it'll be a whole week after Thanksgiving and I imagine not too many people will be traveling then.

We are having our wedding in the downtown area where rooms are averaging around $150 per night and parking at the hotel is another $30.

Initially, we were going to block about 20 rooms, as we def wouldn't need more than that. However, after talking to my cousins, they suggested just providing various hotel options in the downtown area as well as in the surrounding counties/suburbs where the hotels are running $90 a night and FREE parking.

That way people could book whatever/wherever they'd like and can afford. That'll take the pressure and stress off of us. For us, we didn't get a better rate trying to block rooms. It would have still been $150 p night.

We only have 100 guests and maybe a dozen couples that would require a room (that's including the bridal party). So, our situation is a little different than yours. Nonetheless, you could try what we're doing too.

    Good luck!

I chose one hotel that was a half block away from the venue. They held 10 to start and will block off more as needed. I only chose one because all of the hotels in the area were around the same price but this one was nicer. ( its a business hotel so they do not expect high volume on the weekends so the rates were low)

If there is a huge difference in rates I would pick more than one option. Ask if you can add rooms as you go.
