How do you keep track of your rsvp's?

E&E2017, on January 13, 2017 at 10:00 AM Posted in Etiquette and Advice 1 19

Hey WW gang!

I'm now in the process of sending invites and gathering rsvp's! Yay!! But I'm wondering, how did you keep track of yours? Do I hang on to all the cards I get? Make a spread sheet of some kind? Cross of people on the list as they give me their rsvp? What did you find most efficient? I'm not naturally a very organized person so any tips would be appreciated!!

Edit: also, I know I pre-stamp the rsvp envelopes but do I address them for people as well?

I numbered all mine and filled them in on the spreadsheet that I had already created.

So your spreadsheet had numbers going down the side and as that number cArd came back, you put their names in by it?

I used a spreadsheet as well. I made 6 columns - RSVP card number, guest names, Accepts, Declines, Steak, Salmon. I would put the number of guests that had accepted or declined in those columns, and then the number of steak and salmon entrees from that RSVP in those columns.

Sometimes people don't fill their names in and then you have no idea who the RSVP is from, numbers help keep track

There is also a feature on Wedding Wire where you can input your guest list and then check off their response and meal choice once the cards come back.

And yes, stamp AND address the envelope.

Sometimes people don't put their names on the RSVP in return.

I can't post the picture right now since I"m using my phone for a conference call- but I had a column with how many guests (1-32) and then their names, addresses and then a column for their RSVP number- then the next column was a drop down I had created (Accept/decline/pending) and just selected the appropriate one for the person.

Yes stamp and address the envelopes- Also number the back of the RSVPs in case someone does not fill in their name.

I'm using an Excel spreadsheet. When I get a response, I'll put an X in the "replied yes or no" columns.

Yes, you need to address the RSVP envelope. I'm hoping you don't mean to put THEIR return address on it, but you'll need to put yours on it of course.

Get yourself an invisible ink pen and write down a number associated with the guest on the back of the RSVP card in case they forget to write their name, or put their own return address stamp on the envelope. Don't forget to assign the number on the spreadsheet.

Yes for the invisible ink! Coordinating RSVP'S with a spreadsheet is definitely the way to go, it will make your life less stressful when they start coming back in without names on them.

Google a wedding guest spreadsheet I found one to track invites addresses rsvp accepts and declines ... you can even put the cost of the meal per person and it calculates based on how many accepts !! It's wonderful !! I just google it !

I wish I had thought of a spread sheet! I printed out all my addresses that i typed up in word (we used this for printing STD and invite envelopes) and put a number beside each name. Then numbered the RSVP cards very small on the back corner. I saw this on a discussion one time and i was like ah i had never thought of this! i had a friend who missed it totally years ago and it was a nightmare for her! you would really be surprised how many people do not write their name!

    ETA: more.

I am putting the count and names into my notebook, which has more room than just my printed list so i can jot down what they give and write good thank you cards. i am highlighting their name on. I love making lists and things, it therapeutic for me so transferring them to the notebook may just be overkill for everybody else lol.

I'm using the guest list feature here on WW with online RSVP enabled. I manually entered the responses of those that chose to mail the card back. I haven't experienced any issues with it. Now to play with the seating chart.

Thanks to the tips I found here, I used the invisible ink, number trick. It definitely came in handy.
