How do tent rentals work?

So, I'm still looking for a venue (arrrgh!). The place we want has yet to call us back, and I think I'm giving up on it. My friend is offering us the use of her family's property for a really good rate... $300 for four hours. The land is really beautiful and offers several sites for us to choose from. We might go with it. The only downside is that we will have to bring in everything... portapotties, tent, chairs, etc.

I think we would only need the tent if it rains. I was looking at a rental site and had a difficult time swallowing the idea of renting a tent that we might not even use. Part of my trouble is having NO idea what size tent would be needed to set up a ceremony with seating for about 100 people (the sizing guides were for formal seating and cocktail hours).

So, I guess I'm asking two things... what size tent will I need? And will companies book rentals on an "as needed" basis? Can I reserve a tent and then cancel if the forecast looks good?

    Look at your guest list....are there any elderly, disabled, pregnant, or extremely fair skinned people invited? Are babies or yound children going to be there? I get quite a sunburn in 15 - 20 minutes....how long is the ceremony? Will your cake be "sun friendly"?

    What time of day is the ceremony? All these things, when answered, will tell you if you need a tent....the company renting the tent can tell you how many people can sit under cover, and what size you need. Sitting in the shade to eat would be much nicer than sitting in the sun

    If I go with my friend's land, we'll just be having the ceremony there, not the reception (Reception will have to be elsewhere if we have our ceremony there). So I wouldn't need to worry over food, cake, etc. I was considering having two baskets with sunscreens and insect repellents near the "walkway" for guests to use if needed, as well as reminding everyone on our website that we will be outdoors and they may wish to wear a hat/sunscreen/bring umbrella/etc.

    I'm not sure where the sun will be that time of year, but we were thinking of having the ceremony under a tree... if the sun is right, the tree would provide some shade. I don't think the ceremony will be much more than 30 minutes... (that's only a guess at this point).

    With all of this, do you think a tent will still be needed if it is sunny?

    WHAT?!!? your FRIEND is charging you to use their property?? That seems like something they shoudl offer to do as a gift! Not try to make money off your day... Sorry, just me there. Anywho, when I was considdering having my reception on the beach I looked into renting a tent, I found one compnay that wuld let me cancell w/in 2 weeks (still hard to weather forcast that) and the other was 48 hours.... just depends ont he place. They were SOOOO expensive ot rent though! Luckily we found a great indoor place 2 miles from the part of beach the ceremony will be on for a great price! Is it an option to have your ceremony outdoors and go somewhere else for reception... that way if it rains you can be prepared w/ umbrellas, cut some of the ceremony down and party it up indoors!

    Well, its not her property... its belongs to her family and they rent it as a business. She got them to cut me a deal. If it were only hers, I would get it for free. They're really only charging to cover the costs of moving cows in advance to keep the pasture clean, to mow the ceremony area as well as a walking path through the field, and to have someone direct parking. I think that's pretty reasonable Smiley smile

    Hi there congratulations on your upcoming wedding. I am renting a tent for my upcoming wedding in june at a local park, I am having a ceremony and reception in at the same location,which makes it easier for our guest to get to. The rental place I had gives me 1 week to cancel if weather permits. It seems like a fun idea, and I have been to plenty of weddings where tent rentals werer used it was beautiful. I would go with it, if it fits your budget. I think the area space your friend is a nice gesture but why not do it as a gift. But again your day so congrats....in in order. I hope this help.

    Our wedding is on our property (my FH's family farm) and we looked into tent rentals because we are having ceremony and reception outside. We decided to just purchase the tents outright, rather than renting because it was ALOT cheaper. For us, to rent a tent for one day would have been $250 (delivery and set-up included). We purchased two tents from golfoutlets.com (same size as the 1 we were going to rent) for just under $250. Now we are always having big family gatherings so the tents will come in handy in the future (just used one for his sister's grad party and it was great) so buying them wasn't a big deal for us, and it saves us money in the long run. I would check into purchasing them instead of renting them. If you do your "homework" you can find some really good deals. All of that being said, I don't know that it is necessary for you to have the tents. If you do rent them, just make sure you are aware of the cancel policy so that if you don't need it, you aren't stuck paying!

    I don't know what state you are in. Tent rentals here is sarasota rent for about 65c per square foot. If you are putting everything under the tent tables/chairs buffet etc.. you will need about 20sq a guest. Call your tent company they will know.

    Ask a tent rental professional to visit the site with you - they can make sure it will be structurally sound & can let you know how much space you'll need. If you are willing to have your wedding "cabaret style" you could have everything under one roof (or tent as the case may be.) Cabaret is where the ceremony is on the dance floor in the center with tables all around. You still get an aisle, but you don't have to re-set the space and you don't have to rent 2 spaces.

    I glad someone posted this. I have tent questions too. I am looking into renting a small heritage cummunity center and its patio and in the Northwest forcasts ussually call for rain. I definately would have to buy or rent a tent or two.

    *sigh* Ok...here we go again... The sunscreen & repellant idea is genius. I never would have thought of it and should have because my guests NEVER remember to put on sunscreen, being from the northwest. And Amy J do you happen to have a link for those tents you bought?

    You know those garden hooks that you poke into the ground to hang flower baskets from? I'm thinking of buying two of those and placing then near the entrance. Then I'll hang the baskets of sunscreen and repellent from them. Might decorate the baskets with flowers and ribbons in my colors. And I'll get to add those hooks to my garden after the wedding Smiley winking

    I have mixed emotions about tents at weddings. I have seen things both ways - tent rental or building rental. With the tents, you have the outdoors feel. However, with the building, some places will not charge if you do not use it. One of the favorite weddings that I have ever been at was a clear span tent outside the barn, since the wedding was on the farm. The food was served out of the barn, and the seating was in the tent.
