Hotel Room Blocks - When to book, and how many rooms

Our wedding is still a year and 2 months away, so I know it's too early to look into booking hotel blocks yet. My question is, do you generally reserve the room block before or after receiving RSVPs from guests?


I am assuming before, we're thinking of having RSVPs due about 4-5 weeks before the wedding (it's holiday season) and I think I've heard you should reserve the room blocks 3-6 months in advance.


How do you know how many rooms to block before receiving RSVPs?

    Every hotel sets up their blocks differently, but we reserved a floor of rooms right before sending our STDs out (roughly 10 months prior) because our wedding was considered "destination" for the vast majority of our guests (1+ hr(s) of travel time), and we wanted to give them plenty of time to plan for our wedding. Out of the 140 guests we had, I believe we had around 50 stay at the hotel

    We set ours up before sending save-the-dates (around 11 months out). Our STD's included a link to our website, which had information about the hotel blocks on it (just included the link to the block discount for guests). We have a lot of international guests and our first block of 20 rooms were filled within a couple weeks. The hotel gave us another round of 20.

    We reserved our room block before went sent out the Save the Dates (in August for our February wedding). A lot of people do it much earlier. Our hotel gave us a complimentary 10 hotel rooms blocked off with no penalty (some hotels charge you if you don't fill up all the rooms you block off). If we need more, we can add more to our block! This was at SpringHill Suites (owned by Marriott).

    We blocked 12 months before. We were not sure how many to block either.

    Our preferred hotel (which costs the most) does not offer a courtesy block so we did not block with them, and have told people to call the hotel directly.

    We went with a 10 room block at our medium price hotel option. This was the max that hotel allowed using a courtesy block.

    At hotel #3 (our cheapest hotel option) we blocked 30 rooms on a courtesy block.

    My best guess is we'll book 20-25 rooms total across all hotels.

    We set ours up before the STDs went out. We blocked rooms for 40 people. We don’t get charged for anything we don’t use. We blocked 10 rooms at 2 different hotels(nearly next door to one another)

    I booked ours 11 months out before sending our save the dates. We're sending ours out either early December or mid January. Because they only allow you to book so many at a time (depending on where you choose), I've booked at 2 different ones.

    I asked for a courtesy block from both in which I will not be financially responsible and any rooms that don't get booked just go back to public release. If I need more, then they will try to accommodate accordingly.

    I based the number of rooms I booked by how many guests I invited (to be on the safe side). I just grouped couples and families together. I booked single and double beds accordingly. As far as the deadline for booking, I'm telling my guests that it's a week prior to the actual date.

    If there are still people who need to book who haven't, I'll follow up with them to let them know there's still time. I just don't want someone to get left out especially if they're an out of town guest!

    My wedding is now only a year away, but I did my hotel block over the summer. Depending on the date and your city they can fill up quickly. the other hotel in the area was full already because of weddings at that time.

    I booked mine about a year out. They still managed to screw mine up. All 3 people I dealt with no longer work at the hotel lol. Luckily the manager of the hotel fixed it.

    We set up two blocks 1 year out. We did two complimentary blocks, one with 10 rooms and one with 15. Our main block was at a Marriott so we added rooms 5 at a time at the same rate as long as they were available in the hotel. We weren't financially responsible for any of them. 30 days before the wedding, all the rooms were released into the hotel for general booking.
