Hotel Blocks/invites

Molly, on September 13, 2019 at 1:40 PM Posted in Planning 2 14

I need help! The hotel that i'm planning on doing a block on wants a number of rooms we want to block by Oct of this year. My wedding isn't until oct of 2020. We aren't even close to sending out invites! How can I possibly know how many rooms to block without having anyone rsvping yet?!

That's odd. I mean mine asked me how many rooms we would need and I said I wasn't sure. But it didn't even matter because they only block off 15 rooms at a time. I would go through your list of people and guess on who you think would stay and then give them a rough number. Just make sure the hotel you are using doesn't charge you for rooms that don't get booked.

We blocked a Marriott and they let us do 15 complimentary rooms blocked, then added 5 at a time as that filled (as long as they were still available in the hotel) at the same rate. Then 30 days out from our wedding weekend, they released them back into the hotel. We got two blocks like that, one with Marriott and one with Wyndham. We talked to other hotels that wanted deposits on the rooms or us to pay for unbooked rooms so we just didn't go with them!

I just blocked 12 rooms at each hotel and if they don’t get booked 3 weeks before my wedding they will be released to the public. If they fill up the hotel will reserve more blocks.

The hotels we looked at had a standard process: they block you off 10 rooms. If they get booked, they then issue you another round of 10 rooms. We also have no idea how many people with RSVP for our Aug 2020 wedding or how many people want rooms. We sent save-the-dates this week and we've already had our first block be booked.

We booked at the SpringHill Suites, and they blocked 10 rooms for us complimentary. If we need to add more after those are booked up, we can.

My fiance works for the Hyatt. You can block rooms, then later let them know how many to release for public use. With hotels, there are times when they have certain yearly events that will fill a hotel. For my area, they have the college world series and a yearly business convention. Every hotel is filled sometimes a year prior to the event. They are probably just trying to ensure you have all the rooms you need.

We're using a local Hilton Garden Inn and they're starting us off with 10 complimentary room nights then adding as we need more.

I had to wait to make mine until it was a year out because they don’t book over a year in advance, and we’re getting married there! We’re having a destination wedding, so we wanted to make the block super early. I think it’s best to make it as early as possible so your guests will know how much they need to save for their room. Also, you generally will get a better price by reserving the block early as they base that number off the current rates for your dates. I would reserve however many rooms you can without being responsible for paying, and then have them add more as needed. That’s how it’s working for us. We have ten rooms and they’ll add more if those book up.

Try going through your guest list to see who might need a room and then go with that number. I’m sure you can always add or subtract rooms since you’re a year out.

We used Courtyard by Marriot, and we had a choice of 10, 20, or 30 rooms. I asked around to some of my VIPs to gauge hotel interest, and based on their responses as well as the number of OOT guests, we opted for the 30 rooms (it was a courtesy block, and a month prior to the wedding, they just released all unbooked rooms.).
