Hotel blocks?

Brittany, on December 2, 2019 at 2:09 PM Posted in Planning 0 7
How do you gauge how many rooms you need? I’m guessing you block more than you may need so you have them just in case? And are food and beverage minimums common? I’ve never done this before

Most hotels will allow you to start with about 10 and add on as needed. You can talk to them about your guest count and they will recommend how best to set up the block.

F&B minimums are very common at a lot of venues, especially hotel venues.

We have one hotel block at our venue, which is a hotel and another one at the hotel across the street from our venue. I think we have 30 rooms in our block at the venue and another 10 across the street (Holiday Inn). They both will drop the rooms a month before the wedding, so we aren't responsible financially for the rooms. My venue has a food and beverage min as well.

Oh ok. Our wedding isn’t at the hotel but the hotel is a wedding venue as well so I’m guessing that’s why there’s a minimum. Thanks!

I work at a hotel but not in the sales department, I would suggest calling the hotel to speak to sales on the room block. Normally I think its 10 rooms or more depending on what you think you need. The blocks usually expire one month before the event so guest can book up rooms available in the block. Good luck!

I have a TON of OOT guests coming for our wedding. To best gauge who might need one or not, I exported the list, and counted all the people who live an hour or more from the venue and made some assumptions about certain family members (those that don't like driving at night, or those that absolutely won't stay anywhere but the comfort of their own home). We ended up with 65 rooms required! Essentially I called local hotels and told them my dilemma and asked them what we could work out to get more than 10 rooms. We ended up with 3 hotels with 20 rooms at each. They are already filling up!

    Good luck!

65?!? Wow! I told FH I’d like to have hotels figured out by the end of the week. Silly me put “more info on website” on our save the dates and I can’t send them out without any lodging info on the site yet. Ugh

I just guessed based on how many people I knew would need them. You can go a little less because you will be reserving your wedding block before you receive rsvps and not everyone will come. My hotel said we can add more rooms no problem! It's not like if they are all booked, they will be turned down.
