Hotel Blocks and "block rooming list"

Private User, on August 30, 2016 at 2:14 PM Posted in Planning 0 8

I am lucky enough to have two bridesmaids who are also events coordinators with wedding planning experience. I was having trouble reaching one hotel for a few days, so my MOH called to check on the block and also asked management to email me the block rooming list which was great! The list included every guest that has booked so far, the anticipated room, and their date of arrival.

I had never heard of this, but I learned that many hotels send this list to the person who holds the block 60 days before the event. I called the other hotel to ask for this and they told me that they cannot tell me anything about anyone who had booked and that it interferes with the "privacy act."

The list is helpful as we are scheduling shuttles for our guests to get to the venue and we are trying to get those staying Friday on the first shuttle so the shuttle closer to check in is not overloaded. Has anyone else had issues with obtaining this list?

Our hotel also has what they call a "guest list manager" online. It's a page we have access to to see who has booked so we can check it whenever we want and can contact the hotel if we need to add more rooms to the block. Are you booking with a large hotel?

I've heard that as long as people book their room under your room block that hotels will share that info with you, or at least just the total count! Can the other hotel give you at least the number or people or rooms who have booked under your room for welcome bags and transportation purposes?

I got the list with no issue at all. Especially helpful near the deadline so I could call and remind them of the deadline (my brothers).

I never even thought to get a list of people staying at the hotel, but that's a great idea! I wonder why this other hotel won't get it to you? You're not asking for the credit card info, just the names of the people who booked. they wouldn't even have to give you the room number, just the name! that seems silly they aren't giving it to you but I don't know very much about privacy acts

My hotel (The Westin) shared a list of all the people who have booked. It is very strange that they won't do that.

My two hotels both provided us with the names of those who booked under our block but would not provide us with room numbers. They did, however, deliver our welcome bags for us.

I was able to get a list of everyone that booked in our block. In addition, I worked for a hotel for 8 years and we provided the list to the person who originally contracted the block. It sounds to me like the person either didn't know how to create a list or didn't feel like running the list. I would call back and ask to speak with a manager as that is not a "valid" reason for not providing a list.
