Hotel Block Number Estimation

So I have almost all out of town guests coming to the wedding, 125 total guests with around 40 parties coming from out of state. How many rooms would I need to block? I was thinking around 20? 30? I am not sure if everyone is going to want to stay at that specific hotel but it is only 2 minutes from the venue and the wedding is on a Monday night. Wedding is in Estes Park, Colorado

    If the hotel you are booking does not hold you financially accountable for blocking room, then I'd likely estimate it at at least 35-40 rooms on your wedding night. The reason for this suggestion is that if the hotel fills with other groups/rooms, you may not be able to add more rooms to the block at a later date. Which leaves additional guests stuck finding another hotel or possibly paying higher rates. Again, it ultimately depends whether the hotel you are booking at includes an attrition clause but if they don't, then that would be my recommendation.

    I agree. It depends on what financial commitment you have to make to the hotel. I would hold as many as you can without having to guarantee them. Once they are filled you should be able to add more (at least that’s what my hotel did). I would highly encourage your guests to book early. For my guests that waited the rooms were over $300 per night because the hotel was almost full.

    We were only allowed to block off 15 rooms at a time and once they filled another 15 would be given to us. I would call the hotel and speak to the sales rep. They will know what you need to do.

    We’re doing a destination wedding in Key West. For our hotel, they reserve us a block of ten rooms free of charge to us. With this, we get a complimentary upgrade. If those ten rooms fill, they will reserve another ten. Being that we are having a small wedding, this will suffice. I suggest you reach out to local hotels and see what rates and rooms they can offer. We have a block rate that is good from the Tuesday before to the Thursday after the wedding (which is Sunday). So you may not have to pick exact dates for people to stay and let them have the option if they want to extend their visit.
