Hotel Block Issues

EGD, on January 19, 2022 at 10:09 AM Posted in Planning 0 9

Looking for a little advice here or just a rant.

I reached out to a hotel to set up a Hotel Block for the night of our wedding, I called the hotel and they gave me the number of the woman in their Sales Department, I called her on 1/6 and left her a voicemail to call me back, which she didn't, I then called back on 1/10 and finally got in touch with her.

On 1/10 she sent me the pricing information, rooms are $179 they require a 10% deposit that we'd get back after %80 of the rooms are booked (which is fine as we are only blocking out 10 rooms and already have 8 people we know will stay at the hotel) I emailed her back on 1/10 with all the information she required for the booking and have not heard from her since. She stated the $179 pricing she gave me expires on 1/17 and if not booked by that date, the price is subject to go up or they may not be able to guarantee the 10 rooms we need.

I sent her another email on 1/12, 1/17 and again today 1/19 all with no response.

I didn't want to call her, cause I'd prefer a paper trail showing I responded prior to 1/17 and also that I've been ignored since 1/10. I'm also battling a stomach bug and don't have energy to speak on the phone lol. but should I just suck it up and call?

This is the only Hotel near our venue that isn't run down and gross, we're also planning on having transportation for bridal party and guests from the hotel to the venue and back to the hotel at the end of the night to avoid anyone drinking and driving.

Anyone run into this or have advice on how I should proceed?

Unfortunately, I have had a very similar experience with the event coordinator at our hotel also. She will flat out ignore multiple emails. Sometimes it takes her days, if not weeks, to respond to voicemails also. What I have been doing is just calling her (because that seems to be the only way I can get her to respond), then I send a follow up email immediately after hanging up with her, outlining all the things we spoke about, so that I still have it in writing.

I think at this point, you have a good paper trail showing that you responded before the deadline. I would definitely try to call, and also send a follow-up email regardless of whether you were able to reach her through phone call or not. ("Thank you for discussing this over the phone earlier today! As per our phone conversation, we agreed on __", or if she doesn't answer the phone, "I left you a voicemail this afternoon, though wanted to also send you an email with the same info").

    Thank you!

I sucked it up and finally called her! Supposedly she'll now be sending me a contract so I guess I'll see if that happens.

You should be able to set up a courtesy block which costs nothing on your end. You are simply setting the rooms aside.

SO frustrating! I wish I had other hotels to choose from, but all other decent hotels are 30 minutes away and would be way more expensive cause they'd be in the main city and this one is only 5 minutes away and everything else in the area is a dingy motel.

This hotel does not do courtesy blocks, and paying a deposit isn't an issue cause we've talked to our bridal party and almost all are staying at the hotel so we'll hit the 80% occupancy rate they need us to hit to give our deposit back.

We're getting married Labor Day weekend, on the New England Shoreline, this hotel typically charges $300/night for the night I need, I'd rather pay the deposit and guarantee a lower rate and a room for my guests.
