Hotel block alternatives

Lynda, on April 2, 2020 at 1:34 PM Posted in Planning 0 6

Hi all,

Sending sympathy to all the brides that are being impacted by COVID-19!

We are considering postponing our June 12 wedding to August 21. All of our vendors are able to accommodate this change but the biggest issue has been with the hotel we reserved a block with. For the new date they will require a 2 night commitment and rates are much higher. All of our guests are local (within 100 miles of the venue) and I know it's not practical for people to book 2 nights, but people were not wanting to have to drive home late at night. I'm wondering if anyone has any ideas about an alternative accommodation for guests? My initial thoughts are Uber/Lyft codes (don't know what exactly that is or how that works) or maybe a VRBO/AirBNB coupon (if that exists?) Any ideas?

Thank you!

I would absolutely talk to your venue and have them consider the rates you were given for your June wedding. This is due to an Act of God, therefore they absolutely should be more accommodating! Our venue gave us the “winter” rates for our August wedding since we had to postpone as well! Just ask for the two night stay requirement to not be required!

Can you cancel the block and let guests make their own arrangements?

Call them and ask to please honor the original rates on your original contract. This not your fault !

Does your contract say that you're obligated to pay for unused rooms?
If not, just make a new block somewhere else. Or if you just look at prices for other local hotels and find something cheaper, you can tell your current hotel that you'll go somewhere else unless they match the price.

If that's hard or uncomfortable, you can use a (free) service- I used Kleinfeld and had a good experience, Hotel Planner is another one -and give them an acceptable range of prices you want for the rooms.

We have already put down a deposit so I'll have to check the cancellation policy. They are saying that the new date is the same weekend as move-in for the university so they expect to be booked, hence the stricter policy and higher rates. Worse case scenario people will just have to figure it out on their own, but I appreciate the support and ideas!

Sorry I can't be of much help, but typically August is "summer season" in tourist areas whereas June is just before that so that's probably why the rates/requirements are different.

I will say that last I checked AirBnB was refunding renters who needed to cancel due to Covid-19 whereas VRBO was not, so if you consider one of those for guest rooms go with AirBnB instead and do not book via VRBO. Fortunately our Best Man used AirBnB to rent a house for my FH's bachelor party (which was supposed to be in mid-April and had to be canceled) so was able to get a refund.
