Hotel Accommodations for Small Wedding

Just trying to gain some insight as to how to accommodate guests for our wedding next June. We are only planning for 50-55 guests and about half need hotels or Airbnb accommodations. Some of the hotels I’ve looked at have a minimum of 10 rooms for a hotel room block and will charge us for any unused rooms. The impending cost is making me hesitant about reserving a room block since we would be charged for any unbooked rooms and we are already paying for everything ourselves.


Should I just provide nearby hotel and Airbnb suggestions on our website or book a room block? We talked about getting transportation for our guests to the venue since there is an endless open bar.

    While a room block is nice, it's not a necessity. If you are worried about being charged for the extra rooms, just skip it and provide recommendations.

    Most hotels will give you a timeline for that block and then you can release them back to the hotel with no charge. I would ask for more clarity on that because it’s nice for your guests to have a block. We had 55 people and that what we did

    If you can’t find a courtesy block, I’d skip it altogether. It’s hard to predict how many rooms will go unused, especially in a smaller wedding. Prepare suggestions and link them to your wedding website and encourage guests to book early if you’re worried.

    It’s fine to skip it. No hotels in our town do courtesy blocks and even though almost every single person attending our wedding would need a hotel, our wedding planner advised us to not sign up for something we would be held financially liable for.

    I would definitely ask for clarity on being charged for unused rooms, usually there is a deadline for them to book and if not booked the rooms can be released back and you shouldn't be charged.

    I would contact large hotel chains (Marriott, Hilton, etc.) and ask if they have complimentary blocks. If you can't find one within a 5-30 minute radius of your hotel, I'd skip a block and just list two options (a cheaper one and a nicer one) on your website.

    We invited about 55 guests and about 45 of those are OOT. I spent a lot of time calling hotels trying to secure courtesy room blocks and was about to secure discount codes since we knew that we couldn’t fill a minimum number of rooms. I included those hotels as well as a couple of other recommendations. Maybe it’s because we are having a higher decline rate than anticipated, but I am pretty sure not a single guest is staying at those hotels. I did make myself available to any guest who needed neighborhood recommendations for booking AirBnBs, which I think was more helpful.
