Hotel Accommodations For Our Guests

We're wanting to get a block of rooms for our guests at a local hotel. Just a few questions:

How do I know how many rooms to block? Just guesstimate?

Our airport in town is on the North side of town and our venue is on the West side of town. Should we do our hotel blocks on the side of town closer to the airport is or should we do them closer to where our venue is?

    To estimate how many rooms, I figured out how many out of town guests I would have, as well as asking around to a few key people about if they would want to stay after drinking and partying all night (we have a shuttle going from hotel to venue). Also, I think it would be easier for guests if the hotel is closer to the venue.

    I set it up with a hotel to have a discounted rate available for guest rather than a block so that I'm not responsible for any of the cost of the rooms. Also, you will want to take into consideration whether the hotel you are choosing offers shuttle service to/from the airport. That was something that helped me choose which hotels I set things up at. You could always contact your venue to see if they have any hotels they recommend.

    I would think as a guest, I would feel better in a hotel closest to the venue since that is the main event of my visit. The airport is always accessible no matter where you are in town. I can’t really help with the other stuff because I’m trying to figure that out as well. Most of the hotels we contacted had set amount of 20 rooms and they hold the price up until about a month or two before the wedding and then released the rooms to the public. So I think it depends on the area and the hotel.

    Most courtesy hotel blocks start out at a certain number of rooms, usually around 10, and you can add more if the need arises. I would ask your hotel(s) how many rooms you can block without a charge. I would go with hotels closest to the venue.

    I was able to get a block of 10 rooms on “curtesy block” meaning if they are not filled I’m not responsible to pay. This way it will not hurt me financially, plus they said I can always add on more rooms if need be

    I'd do a complimentary block (usually 10-20 rooms) at a hotel that will let you add rooms as you fill up. I'd do closer to the venue.
