Hi guys! New to the forums thing.
So FH and I are doing our wedding in between lunch and dinner because its just not in our budget to feed 300 guests a full meal so we were planning on serving snackie type foods instead. Fruit, chips salsa and queso, veggies, maybe some fix-it-yourself cheese and crackers and stuff. Well, neither one of us or any of our family have ever had to feed this many people before even with just snackies. Does anyone have any advice on just how much we would need to buy in order to feed that many people? Any advice would be much appreciated!!


(And before anyone says to cut the guest list instead of skimping on food, we already have. We both have HUGE families so everyone that's invited is a must invite. Can't cut it down any further even though we both wish we could.)

    First of all, good on you for moving to a non meal time, knowing your limitations. Secondly, have you considered doing a cake and punch reception? I don't know if I would consider some of the options you mentioned as wedding food but that's just me.

    I think it might be best to consult a caterer and see what they can do for you. Having heavier snacks might be a good option. Not only can they provide better options for you, they'll be able to make sure that everything is prepared properly and kept to proper temperatures for your guests!

    Hire a caterer. I can also bet that guest list can be cut. What is the time for the reception?

    Having it in between lunch and dinner is a good way to go if you can't afford to feed people a big meal.

    Instead of just snacks, I'd also suggest a tiny bit more filling things, like finger sandwiches, maybe a salad (pasta, potato, etc) and some form of dessert like cheesecake or cookies or something similar! And definitely do this through a caterer. Feeding that many people yourselves sounds horrendously stressful and you want to make sure everything is prepared correctly!

    Do you have a budget set aside for food and drinks? I would reach out to local restaurants and/or caterers to get an answer to that question. If you explain your budget, any restaurant or caterer should be able to tell you what they can do for you within that budget.

    With all of the family parties/holidays I have hosted, I personally find it more expensive to buy snack type foods in bulk than to actually make a plated meal. With apps, you end up having to buy more of a variety in order to have enough food to ensure no one goes hungry.

    WOW...thats a huge guest list. I think heavy appetizers are best. Even though there are 300 guests they all have stomachs that should be fed a substantial meal even if its not a full course. My friend is planning for 250 during meal time but she's looked at super low catering costs to be able to afford the plated meal choice and shes done pretty well. Since its between lunch and dinner i think you could do cheese/fruit/veggie trays, but you will want to do some other appetizers a little more filling. Maybe taquitos, mac n cheese bites, sliders, meatballs, mini sandwiches, your caterer should have some options. Also how long is the reception? if its more than 3 hours you definitely need a more substantial meal. Also, your serving alcohol? I'd be cautious in serving alcohol with only cheese and fruit trays. The purpose in serving 300 guests is variety that way people will get a little bit of what they want. Maybe when you get your actual guest count returned this will lighten things for you. Good luck!

    Definitely contact a caterer and get prices for cocktail hour type foods and see if that's in your budget. I would be pretty let down if there were only crackers and chips with dip at a wedding. If you can't afford that look into a cake and punch reception and see if that's more doable

    I can't imagine inviting 300 people and serving them crackers. This whole shindig needs to be short.

    Contact a caterer. It's going to be easily thousands of dollars to serve actual appetizers to 300 people.

    Maybe consider shortening it to a two hour reception and only do cake, displays, and cocktails.

    Good luck. Our original guest list was over 400...

    I agree that you should consider a caterer. If you are purchasing food yourself, definitely buy more than you think you need. Some guests will still eat a full meal worth of these "snacks", so you will want to be prepared! Nothing worse than running out of food.

    Where is the wedding? It wouldn't let me see your profile? I'm wondering if maybe people would help you find cheap caters. Our wedding is huge and our caterer is actually really cheap and delicious!

    That made me wince, too. I'd feel like I was being invited just to bring a gift.

    Cake and punch receptions are fine if you don't have the budget to feed people a full meal, but not for this many people. I think there is a point where it just looks greedy, since you could have used this budget to have a lovely reception with say, 50 people.

    I would contact a local restaurant to maybe do some light appetizers and do the fruit and vegetables on your own. Here is what I found for how much per serson

    I agree with PPs that you should look into a catered option. 300 is a lot of people. I would also suggest having a "cocktail reception" with appetizers. When we were venue shopping, they told us to order 3 to 4 pieces per person for cocktail hour. That was for one hour worth of time, but was also a combined number. So for 300 people, you would need 900-1200 pieces total. That could translate to 5 different appetizers, 180-240 servings of each. That may be the magic number to keep in mind.

    Hey so yeah, to the people arguing about me needing to cut my guest list: that actually wasn't the question that I asked. I cant cut the guest list and I don't need to explain to strangers on an internet forum why I can't but thanks anyway for all the judgement!

    Thank you so much everyone else for the super helpful comments and stuff!! I'm definitely going to be pricing caterers. (Honestly I'm a hot mess and didnt even know that caterers could do just appetizer foods haha). The reception is going to be about 3.5 hours at the absolute most. And no alcohol per the venue so that's nice for our budget as well there. Thanks again for the great advice!! Really appreciate it!

    I will say this is still going to add up. Even between meal times people want a few different snacks. Go for 2pm ceremony with a reception following right after try to get all the pics done before the ceremony. People will not wait around on you to take pics if there isn’t a meal.

    make sure the invitations are clear ‘light refreshments to follow’

    Wholesalers like sams club or BJ'S offer party planning advise and platters so you can cut down on some work there. They also give advice on how many peoe each platter will feed. Some times you can find someone who does wholesale catering (sells to restaurants) my guy is 7.99 a head. They are crazy cheap and serve high quality foods. I'm not sure about where your wedding will be, but if it's the Rochester NY area I can give you thier information .

    I agree with p.o. about doing sandwiches and salads. They can be a great way to feed the masses.

    I have also been to weddings in my area where bringing a dish to pass is acceptable as well... not that anyone on here is going to like that idea.
