Hideous dance floor and fees

So my reception venue is definitely older and it shows. We have someone who is willing to bring in a snap together dance floor because the one at the venue is old and dingy. I only have a picture from a video still, but there are weird panels with different colors and it’s just bad. I can bring in the new dance floor no problem, but there is a fee to take down the one they have. Do I have a leg to stand on asking them to just take it down for free? Or offering for us to take it down ourselves the night before? Or am I just being dramatic and the dance floor is not that bad? The chairs are also stained banquet chairs and they said they charge a fee if I bring in chairs from an outside vendor. Is any of this normal?

    It’s also difficult because I know the coordinator at the venue personally and she didn’t charge us a ceremony fee. I feel like it’s hard for me to say anything because I should be grateful that she discounted that money for us. What do you think?

    Have you considered looking at pricing for a floor wrap? That might work better than the snap in type.

    Is dimming the lights an option? Guests truly do not pay attention to or care about the flooring as long as it’s not a safety hazard. On the wedding day, that will be the least of your concerns.



    Unless you want to donate funds and/or materials to replace the flooring permanently, there is no polite way to ask this and you don’t have a leg to stand on.

    I don’t think the dance floor is bad. With low lighting and people moving on it, you’re not going to notice a few tiles.


    Charging you to use different chairs does sound odd to me!

    For the chairs, you could see if there are chair coverings to improve the overall appearance

    In addition to costs that are better off spent elsewhere that guests notice and appreciate, make sure that these are not a hindrance for guests. For example, spandex covers will be removed by guests because they get uncomfortable to sit on if they don’t fit perfectly. Outside of photos, guests don’t care what chairs look like as long as they are comfortable because they are not in their direct line of vision.

    I definitely don’t think it would be OK to ask them to do the manual labor of removing the dance floor for free. I would just pay the fee and be grateful they are even allowing you to do that, as many venues won’t. As far as a fee to use different chairs, that one sounds odd to me. I have definitely never heard of that before. Is the fee minimal? Is it perhaps a small fee for the manual labor to remove the current chairs? Or do they charge you to use their chairs, and the fee is to recoup some of the money lost for you not using theirs?
