Head Count

Hello everyone

Im so confused .. so my head count is 70 guests for venue, catering purposes, seats, party favors and invites. Do I include my vendors on top of that for catering and seats etc...My list is tight, I would have to drop guests for this... I totally didn't think of this.. what's customary ? advice please....

    My vendors don't have seats at the guests tables, but they will have a smaller table so they can sit and eat, but they won't be on the seating chart or anything. You do count them into your headcount so your caterer knows to prepare a meal for them.

    For catering, check your contract but more than likely you're required to feed them so you need to add them in your headcount. My caterer doesn't but many have a discounted vendor meal price. Regarding seats ask your venue where vendors usually sit. I have a table near the back for vendors. Alot of DJs will eat at the booth also. Some people place vendors in a separate room but I kind of think this is rude.

    Usually you just need to include them for catering. Most of the time vendors don't sit and eat in the reception room, they usually go in a separate space to eat. But check with your venue

    Mine are where we had cocktail hour (outside). My venue gave us a discount of about half off for their meals, and I also did not offer them the prime rib, just the chicken, veg, and fish options.

    I will 3 tables set up outside .... I wonder if that will do for vendors? What vendors do I feed?

    You say I have x number of guests and y number of vendors. The venue probably has a lower price for vendor meals

    You feed any vendor who will be there the duration of the wedding. For me it was photographer dj and 2 photo booth attendants

    You need to feed vendors who will be there for duration, generally band or DJ, and photographer. Speak to venue ASAP, most times they have separate area and slightly different menu.

    Ok so I'll have there during event the photography (2)

    Dj (1) bartender service server with portable bar (2) day of coordinator/officiant (1) maybe a videographer (1) limo drivers (2)

    Omg I have to feed them all. Smiley sad

    The 3 outside table should be ok for them right?

    I added vendors to my final count (officiant, DJ & DJ assistant, photographer, etc) - they work hard and they deserve a good meal. They'll have a little table where they can eat/rest. It won't be decked out with the expensive chair covers/table cloths or a centerpiece (unless I have an extra, haha), but it'll have a nice white table cloth (complimentary with the venue) and comfy seats.
