Guestbook Question

Allie, on May 12, 2021 at 11:35 AM Posted in Style and Décor 0 17

Hello ladies!

So, we are doing a shadowbox style guestbook where our guests sign a little heart and insert it. However, I'm kind of wondering how many hearts I should order (obviously more hearts is more money). They look like they may only fit one name, but I can see people fitting two names or even just signing the family name, like "The Smiths." So I'm conflicted. We are expecting about 130 people, so do I order enough for each person to sign one heart or do I cut it in half to have people sign just for their family? Thanks for input! Photo below.

I'd order more than you think you'll need...if you have extras you can always sprinkle blank ones throughout. But it's good to have more than you think you'll need in case people mess up and want to write one a new one!

I would order more than half that's for sure! because i've had members of a family sign individually too rather than on behalf of just the family whole

Honestly, with 130 possible guests, I would probably buy about 175-200 hearts. You always want to go with extras... never assume that guests will know what they should be writing, so put signage. It’s only fair to give everyone an opportunity to write on a heart. Besides, between people messing up, possibly having kids (maybe even adults) wanting to ‘save’ one as a memory, and wanting to have some sprinkled around a table... more hearts seems like the best option.

Also, make sure that your shadow box can hold that many hearts.

I can’t imagine why you would need 200 hearts for 130 guests. I would go with 1.5 times your guest list, that should account for those who will sign together and those who will sign individually.

1.5x a guest list of 130 guests is 195 hearts. Do you mean 75% of the guest list (so 98 hearts) assuming half will sign as couples and half will sign individually?

Definitely know how many your design can hold. Typically these types of alternative guest books will recommend a size based on number of guests and capacity of the design. So it will say something like "Small = 50-100 guests, Medium = 100-150 guests, Large = 150-200 guests" and then you order the size and number of hearts needed. I would not order more hearts than the design can accommodate.

You can also leave instructions for your guests specifying whether people should sign solo or not, if you'd like.

That's what I was leaning towards as well, sometimes mothers sign for everyone in my family and then their kids sign their own. I know my aunt does this with her adult daughter all the time and then my cousin does her own. Thank you!

Yes, that's a good point! I'll definitely get enough to have extra. Luckily, the shadowbox is created based on the number of hearts you order, so the more I order, the bigger the shadowbox will be made. Thank you!

I think 200 might be a bit too many, but I'll definitely do enough to have some extras! Thank you.

Yes, the shadowbox is created based on the amount of hearts you order when you place the order. So more hearts=a bigger shadowbox design and more money. That's why I'm trying to decide what to do, but I'm leaning more towards getting more hearts and having the larger shadowbox vs. getting fewer and possibly running out. The shadowbox comes with a sign for a nominal fee to tell people how to sign as well, so I'll definitely be using that option! Thank you!

I do think these designs look best when not filled to the absolute max, so I think erring on a larger shadowbox and more hearts is the way to go. Plus if at the end of the night there is a ton of hearts and space left over you can always have your DJ/MC make an announcement to encourage anyone who hasn't signed yet to do so, or tell people who already have to leave a little note or something in addition to their signature.

I would base it on the # of guests you invite, knowing some will likely decline which will give you the buffer you need for space and extra hearts. So I would go with 130 or round to the closest number that is within 15% (the typical decline rate for weddings), which would be 110-150.

Thank you! My fiance is not a huge Disney fan but I am, so we are doing a lot of hidden stuff. This is one of the more upfront things he said I could do!

We did something like this too! I had 135 guests and ordered 85 stars. I wanted to have a few more than half the number of guests because I figured some people would sign individually. There were a few kids at my wedding and they of course had to sign a sign on their own, but most couples signed together,

Perfect thank you! This was my original thought, having about 85-90 for the 130 guests figuring some people would sign together. Thank you!
