Guest count and buffet

I’m having a self serve buffet style wedding with an excessive amount of food to make up for the lack of guests since I chose the main ballroom requiring a higher guest count. How would our venue know our exact guest count the day of if extra people were to come or if I were to ask my vendors to serve themselves at the buffet instead of buying vendor meals? I know we definitely have more than enough food for everyone, if anything food will go to waste by buying more in vendor meals. Has anyone else gotten away with adding extra people in a buffet style reception without listing them within the guest count?

    I think they'll know from the amount of chairs that you setup as well. If you told them something like 100 people, but asked for tables and chairs for 125 people, they'll likely know that something is up. I personally would just be honest with them about your guest count. Being dishonest with your venue is likely to cause bigger problems. You could always ask if they can box up any leftover food, since you paid for it.

    Not sure I follow. If you chose the ballroom which has a minimum, won't they put you down as having that many guests, regardless of your exact amount of it's less because you're paying for the minimum amount. If there's leftover that's fine but you're still paying for X amount of guests' food. I would be honest about the vendors and just tell them you'd rather serve from the line instead of paying for separate vendor meals.

    This isn’t how it works at venues near me. You owe the minimum but you still tell them exactly how many guests you have so you may be paying for extra things (an additional appetizer or premium liquor or even an extra protein with the meal) but not necessarily extra portions of food.

    I would be honest about your guest count and just ask the venue what they do about vendors. They’ll need your count for other things- tables, chairs, linens, servers, etc.

    Thanks for the advice! We actually have a whole additional carving station added (beef Wellington and a whole roasted pig), an additional dessert (besides our cake), and an additional appetizer. I highly doubt everyone will be having a portion of every single thing because we have so much Smiley smile

    Oh, wow, ok. I would think they would understand if more people show up than expected. Sometimes people don't rsvp but show up anyway.
