Guest Accommodations

So, my fiancé and I have been engaged for a year. We are getting married in August, and I sent out save the dates already. The problem is the save the dates do not have any hotel accommodation information on them because we didn't have it when I sent them. I created a website, but again, it was after I sent the save the dates. I am now realizing I should have included a wedding website on the save the dates so people coming from out of town could find the hotel block information before the invitations went out. What's the easiest way for the guests to get this information if I don't have everybody's email addresses?

    We included the wedding website on our invitations, and we're sending them a little early so everyone can book flights and hotel rooms. Definitely inform your family though so they can lock theirs down.

    How early are you sending them? I didn’t realize they were typically sent so close to the wedding, so I didn’t think it’d be a problem, but one of the hotels said they can only hold our block until May, which worries me.

    We're planning for mid-January, with our wedding being April 4th. They're supposed to be 6 to 8 weeks out, but with so many out of town guests we want them to be able to book with our hotel block too.

    Gotcha! Yeah, all of the invitations I’ve gotten I just found the accommodations on the invitations. I was shocked when I was told our hotel block was only held until may, which should be before we send the invitations..

    Yeeeeah. Our venue is right next to several Marriotts, but one of them said they'd only hold the block until the end of February. It's the weirdest thing. We wanted to give everyone time to book flights and plan their stays.

    Include accommodations and your website on a details card with your invitations.

    Wait, the bigger question is why your hotel is only saving your blocks until May?!?!? The hotels typically keep the blocks open and available up to 30 days before the wedding. You should be fine putting the info on your invitations and on your website (you could also post your wedding website link on social media or blast text it to people) but the real thing here is changing that hotel block timeline. I can promise you a bunch of people will still be up in the air about being able to go to a wedding/ how long they’re staying for if it’s still 4 months out

    Call, email or mail them. Hotels near our local reception were almost SOLD OUT six months before our reception. We called and emailed guests as soon as we could.

    A text message blast or phone call to those who are gonna be out of town guest .

    I put my website with my hotels on my save the dates and no one even looked at it. I wouldn’t worry about it. Even after the invites with the hotel cards went out people were still acting clueless and texting me.

    I'm sure if this is crazy but what if you send a simple postcard saying how excited you are for the wedding, and include the wedding website and explain they can find guest accommodations.

    We didn’t have our hotel info set up when we sent save the dates either. Info was on the invites, but even before that I think everyone knew. Just by word of mouth. A few people asked me via text or it just came out in conversation. And then word spread from there. We invited about 200 so I’d say if it worked for us it can work for anyone!

    I did the same thing - we are just sending our invites out a little earlier than normal to help with this.


    Also, people have been reaching out about it so that’s helped!

    I don’t think your save the dates need to include anything more than your names, the date, and the location city/state. Your invitations would be a good place to include any additional cards for ceremony & hotel information, or you can choose to just list your wedding website with all information on there.

    You could always text the link to close family & friends, or even message it on Facebook since you already sent save the dates.
