Estimating Number of Rooms to Block

Leslie, on September 30, 2019 at 5:33 PM Posted in Planning 0 6
How do we estimate how many rooms to block without going overboard and having rooms go unbooked? Anyone have horror stories on having to pay when you overestimated?

Most places will give you a room block free for s period of time and then add as you need more. I would get the hotel info out to people early and let them know that limited rooms are being held.

We had a courtesy block so nobody was on the hook for unrented rooms. They gave us 10 rooms to begin with and were able to give us another 10-15 since all our guests were from out of town.

This is what my daughter did. She was not on the hook for unsold rooms.

Make sure you set up a block at a hotel that does a courtesy block if those exist in your city.

All of our guests are from out of town so we counted up couples or friends we think might share a room. We have just over 200 people invited and we started off with 40 rooms which all got booked this summer- a year out from the wedding, so more will be added. I think it’s partially a know your crowd thing as well. You could always reach out to guests to see if they think they plan on booking a room to get a better estimate.

We did a complimentary block. We started with 15 rooms, then added them 5 at a time as our block filled at the same rate as long as they were available in the hotel. We ended up with 40 rooms booked, but we had a lot of out of state guests.
