Estimating Guest response

jamelyn, on May 29, 2019 at 8:18 AM Posted in Planning 0 11
Just wondering what rule people usually go by when estimating guest response ( so i can reserve the rentals). Ive been told everything from 50 % to 85 %. Were on a budget so i dont want 200 chairs for 115 people. Most of the weddings ive been to lately have had lots of empty seats.

That's tough to determine, due to the variable possibilities. We invited 245, and our final count is 172.

This varies for everyone, depending on when and where they're getting married. For us, our wedding is considered a "destination" wedding to the majority of our guests. We are inviting 207 and anticipating roughly 150 to attend.

I think the 50/85 rule is in-town vs. out-of-town guests - 50% of the people that live out-of-town will come and 85% of the in-town. That being said, I think it is really dependent on your families and friends - I had a friend who was from a huge Italian family and had more people crawl out of the woodwork to make it to her wedding, and another friend who had people RSVP "yes" and not make it on the day of.

I am reserving 200 chairs and I invited 197 guests. About a month before the wedding my vendor asks for an updated chair count so that's when I tell her how many actual chairs I will need. I am paying off the balance but she told me not to pay off my balance completely until i have a more accurate head count in the strong liklihood that i will not actually need 200 chairs. more than likely your vendors will have the same procedure, I would ask!

It really depends on a lot of different variables. We invited 120 and (still waiting on a few stragglers) will be closer around 85-90.

Have the guest RSVP before your final counts are due.

I was able to edit my rental order after the fact (up until the week of the event). If you can do so, list your rental amount for the full guest count and edit it after your RSVP date.

You can reserve the total amount you’re expecting/inviting. The rental company should tell you when final numbers are due, like with your caterer. The youll just call once you have all your RSVPs back and let them know 😊

We are finalizing our catering, dessert, drink, or flower order until we have our final RSVP count. We invited 225, I estimated 150-175 (overestimated for budget purposes). We are still waiting on around 97 people to RSVP (12 days until they are due) but I think we will be between 130-150. But we have a higher "no" count since we had a large portion of out of state guests, elderly out of state guests, and full families were just the parents ended up attending.

You should be able to give them an updated count once you get your RSVP count. We invited 175, we expected between 130-150, and we ended up with 118. It is pretty unpredictable.

We invited over 300 - maybe close to 320 people. our main goal was 260 guests. so we have almost 260 for the reception but for the ceremony we have about 145 say yes. i was going to do about 20% extra seats for the ceremony chairs [i read somewhere that should be an ok amount to go over by].
