Emailing potential vendors

Lindsey, on February 24, 2017 at 9:27 AM Posted in Planning 0 7

When I email a potential photographer or videographer, what kind of things should I include in the email?

You should let them know your venue and ceremony locations, a list of their pricing and of course make sure they have your date available!

    Hi,

My name is Lindsey O. and I will be getting married on at "venue name here" on 10.13.18. I am looking to gain some information and pricing on your "photography/videography" services. You can reach me at "insert email or phone number or both." I look forward to hearing from you!

    Best,

    Lindsey O.

I would think about including your budget as well for said vendor. Otherwise you may receive a lot of pressure from them to sign even after it being out of your price range

Hi Lindsey! You're not too far away from where I'm from in PA Smiley smile

Start by telling them your date and how many hours you're looking for. It's helpful to include your venue location too, in case there is a travel fee (depending on the distance of the vendor). If you haven't viewed a full wedding gallery on his or her website, ask if they can send you a link to a full wedding (viewing a full wedding gives you a better idea of what you'll receive, rather than just looking at the best of the best in portfolio highlights).

That's a good starting point, and then you can chat more from there once getting his/her responses.

I agree with PP. Ask for a full gallery. Once I saw those it definitely changed my mind on some photographers.

First, I suggest checking to see if they have a contact form on their website. That way you know you're giving them the information they need. For us, we ask for the wedding date, the ceremony and reception location(s), and then we ask them to tell us about themselves and their wedding. We love love it when a couple shares who they are with us. Photographers and videographers are storytellers, so don't be afraid to tell them how you and your fiance met, the details from the proposal, how many dogs you have (we like to live vicariously through our couples with dogs), what you like to do for fun, and your vision for your wedding day. This helps create a real relationship with them, which will make your wedding day so much more fun!

Hi Lindsey! Definitely include your wedding date, location, venue, and contact information. I also think it helps to be really clear what you are looking for in response - are you asking about availability, pricing, what services are provided in the package, want to set up a time to talk?
