Daytime wedding, short time constraints


Hi Everyone,


I’m needing a little advice (sorry this is so long). We are doing a daytime wedding in a short time window (125 guests, ceremony at 10.30, need to leave reception by 2:00). FH says don’t worry, but no matter how I look at it, this is short. I’m looking at ways to cut down time especially when food is involved.



We really want to do a buffet line, but I can picture it taking forever and it being an hour and a half before everyone has been through line for food and starts eating. By that time, we would need to do first cut on cake so caterer can cut the rest and distribute to guests. After that, it’ll be time to say goodbyes and go. Everything seems so rushed.



Is a buffet style full meal realistic? Should we just do heavy appetizers? We want to feed everyone, just don’t know how to go about everything.



Note: We aren’t having a wedding party nor planning on doing any special dances besides first dance and no speeches besides a prayer and a toast 🥂 We also plan on having a band, DJ in between, open bar, maybe photo booth.

    That is pretty short. A full meal buffet, for 125 guests, will probably take 1-1.5 hours. With an average of a 30 minute ceremony, that is already 2 hours of your time gone. That only leaves 1.5 hours for everything else. Can you extend your venue rental time so your reception can be a little longer?

    Oh, I left that bit out. We asked and we can; however, they can only extend it if no one books that evening time slot, which means we will find out 45 days before wedding if it can be extended. I’m trying to plan on us not being able to extend it since it’s up in the air. We haven’t sent out save the dates, so I’m debating on if we should change time of wedding... don’t know. 🤔

    Is the evening time slot longer? If so, just take the evening time slot and have a night wedding instead.

    It is, but it’s also 2-3k more expensive. We would have to do a Thursday or Friday wedding for it to be somewhat feasible, but the venue is hard to get to, in a construction zone with heavy traffic. We chose that time to save money and aide our guests on having to battle getting there in rush hour traffic in evening. We may be stuck with this time slot. Which is why I’m trying to get ways on saving time where meals are concerned. I’m at a lost and FH is set on this time slot.

    I would always try to section off at least 1.5 hours just for people to get food and eat and even just settle down. Dancing is usually allotted at least an hour but that leaves very little time then for anything else. So you’d have to cut some things out or do them fast and the issue with all of this is you’re gonna need to start on time exactly and that’s almost usually not likely

    Well, assuming you'll take about 30 minutes for the ceremony, that means the reception would start at 11:00 - an early lunch style meal or even brunch would be acceptable. Perhaps have multiple buffet tables set up in 2 or 3 different areas, offering the same selection of food and encourage guests to "disperse" among the different areas. This could cut down on ONE long line, and get people through faster.

    Good idea... I can ask caterer about multiple stations and lines. As for reception start, FH is deadset on not seeing me beforehand, so pictures will still be taken after. Since we don’t have a wedding party, I can’t see it taking longer than 30 mins at the most. It does put us behind though and on a time crunch.

    Ahh, yes that does put the reception starting closer to noon. But even if it does start at noon, that still gives you 2 hours for dinner, cake, and your first dance. You may want to think about letting your guests go through the food lines WHILE you and your FH are getting photos. Just a thought, it would really help combat the time crunch a bit.

    I would talk to some caterers to ask what is the best way to feed that amount of people in a short time period (because others are right, it will take at least 90 minutes for a standard buffet or plated service). Maybe more buffet lines/stations or plated style with extra servers.

    And I would skip the DJ if you aren't planning on having dancing. That would save money for additional servers to speed up the meal.

    You could also do your "cake cut" before everyone sits down for lunch, which would give your caterers plenty of time to prep the cake for serving and you wouldn't have to corral everyone over to the cake table after lunch.

    Edited to add: you could also take family photos of each side before the ceremony. That would save time after.

    For what it’s worth, our ceremony starts at 11:00am and we have to be out by 3:30pm. Below is a super draft of our day of timeline. We have a little bit more time than you but we are serving appetizers during cocktail “hour”, having an open bar and full buffet. Hope it helps you a little

    Good ideas! Especially with cake cutting. Because our caterer will be cutting a cake they never made, I want to give them time to figure out structures and cut for everyone and not wait until last minute.
