Dates for rsvp and hotel block?

Nicole, on February 12, 2021 at 12:57 PM Posted in Etiquette and Advice 0 10

Okay, so I have my invites ready to be sent to the printer. We are asking our guests to RSVP online at our website. The venue does not need our final headcount for 10 days prior to the event. The last day to book the discounted hotel room is 30 days prior to our wedding. Did you have 2 different dates? One for room block and one for the actual ceremony counts? For simplicity should I just make them the same? Which would be 30 days prior to our wedding...

I would make both 30 days! That way your guests know the deadline for booking the room, but you also have some extra time to contact anyone that hasn't RSVPd yet before your venue deadline is up!

We listed our RSVP deadline on our RSVP card, and the hotel block deadline in the Accommodations section on the Details card. They were different dates as well, and I thought it was important for guests to understand both.

We have the same issue for our wedding where the hotel room block discount expired a month ahead of time and our guest count wasn't due until two weeks ahead of time so we sent an accommodations card along with our invitations asking our guests to visit our website for more information regarding booking their hotel room. Then on our website we specifically stated what the cost would be if they booked within the time period to receive the discount. We also stated on our website when the discount would be good until then left it up to the guests to book their rooms within that period of time. If they fail to do so then that was on them. We made our RSVP deadline, one week prior to when our venue needed our guest count so we had time to reach out to people who didn't RSVP by the deadline.

That is a little bit of what I'm afraid of, if they do not give us notice within the time we need it, I'll be calling those that have not said anything. I may just go ahead and make it 30 days so I can call those that do not rsvp to confirm.

    Thank you ladies!

10 days is cutting it close. Most rsvps are due around 3 week..2 1/2 at the latest with a cushion of a 2-3 days to contact anyone who didn't reply, plus tallying all the replies and making placecards.

Invites are sent out 6-8 weeks regardless with replies due at 3 weeks. The hotel block is something else entirely and needs to have a separate date listed. Be aware that often it's actually cheaper to book a room independently outside of a block but a block is helpful if you are in a touristy area during peak event season. The couple who reserves them is generally not given the rsvps for those as it is between the guest and the hotel.

If I were a guest who received an invite with a reply due 30 days prior, I would be very confused and forget to even reply. Your guests will be the same, especially anyone from parents and grandparents generations.

We ended up just renting the rooms for that evening ourselves because it’s open bar and as much as people say they don’t need a room, it’s best in my opinion to always have them ready. I personally think you should only do one date because the amount of people that will back out 30 days before a wedding I don’t think are going to be that many.Especially if they RSVP yes. Not to mention from what I hear it’s hard enough to have people RSVP at all let alone two different dates.

I agree with Shelly! Make one solid deadline for 30 days. Most invites ask for RSVP a month before the date anyway because 10 days won't be enough time to have to reach out to those who have forgotten to respond. Give yourself the month buffer to have your guests finalized. As for the hotel deadline, I simply posted it on our accommodations page to book by a certain date to get the "discounted rate". Otherwise, if they want to book at another hotel, or wait, that's up to them. If people wait until the last minute, I've decided that is on them as well.

We're in the same scenario and I put both at around 30 days out. I looked back at wedding invitations I've received and the rsvp date on all of them were around 30 days out. This gives us about 2 weeks to reach out to anyone who didn't rsvp before having to turn over our final number to the venue. This also gives us time to figure out the final seating chart and order place cards without rushing.

We had our guests RSVP 45 days in advance because you have to reserve linens and rentals and hotel rooms and all of that stuff takes time and you don’t want to wait to the last minute especially if you’re getting married in a time of year where weddings are really big because you may not be able to get everything that you want if you wait.

Good point, I didn't think about the other items I will need to coordinate so definitely better to know if they are attending.

    Thanks everyone!
