Coordinator not responding?!

Ashley, on August 29, 2018 at 9:40 AM Posted in Planning 0 11
The venue I chose assigned a weddibg coordinator/planner that works for the venue, which is actually one of the reasons I chose them. I have a very busy schedule and I don’t feel like I have the time to do it myself. I met with her the middle of June to go over what I see my wedding looking like and so my fiancé and I could meet her. During that meeting, she said that she would get the vendor lists to us so we can look at them in a week or so. Two months later, I have been emailing and calling with no response (not even a “I’m super booked with events this weekend, Ill try to get those over in a week!”) and I finally ask to switch coordinators. After that, the original one responds with the vendor list. Now its two weeks later, I have called and emailed, and no response. I am still in college and with the semester startig I literally have no time to meet with her, which is why I was trying to get vendors booked over the summer. I know my wedding isnt until May, so I have some time, I just dont want to wait to book vendors until January. My mom says I should wait a few more months to stir things up, because it is a really busy time right now, but that is making me nervous. Any ideas?

What vendors are you talking about? DJ? Photographer? Those should be booked before January because you want to meet with them and see if you'll even like those vendors or want to search for your own...you want to know how much they charge, what their packages are, deposits, etc. You def want to reach out to them now and start to schedule meetings before you get busy with classes.

Call and ask to speak to her supervisor. Tell them what has been going on and insist on being moved to another coordinator.

Its mostly food I am concerned about. I already had DJ and photographer before I even had the venue (photographer was my high school photography teacher and I won the DJ at an expo). And it is technically everythig else, like flowers, but I know those arent as crucial as food.

I would definitely call and say something. You should book your caterer ASAP

Call and ask for a manager. You need to have photographer DJ your Venue your caterer all booked nine months to a year before your wedding. Hope your issue gets resolved.

What exactly is her job? Is she a full out wedding planner? Or just a coordinator the month/day of? Do you book the vendors yourself? Or does she have to do it?

She is a full out planner. I can do as much as I want/can and she will do everything else.

I'd be pretty stressed out then. Do their vendors work for other venues? If so, I'd be worried they are already booked (at least the good ones). If they work for only then, it's less stressful because they obviously won't be busy. I'd just send another email explaining your stress and discomfort with the planning experience so far, and let her know specific things you want booked in the next month or so. If she doesn't answer, I'd call the venue and give them the same message.

I think you need to relax. You have months until your wedding. It depends on when you actually need to decide everything. If you just need to talk to her to decide on menu itself (the caterer is either the venue or already chosen), then wait until January or March. The menu might change for the spring season, and you only need to put "chicken, fish, etc" on the response cards. If its a buffet menu, then you have plenty of time. My coordinator did not respond very well in the months leading up to my wedding, but the month before hand, she was fabulous. Honestly, the coordinator is not focused on your wedding, he/she is worried about everyone getting married this weekend. When it's your turn, she'll be there.

I get that there are other people, which is why I havent been constantly contacting her. The caterer isn’t the venue, and it isnt chosen yet, which is why I am stressing a little bit. I just expect some sort of response within a couple of weeks, even if it is her telling me she is busy, rather than waiting two months for a list of vendors.
