Confused by what the coordinator means

I was told by the coordinator of my top venue that they were offering their bridal buyout for $5k instead of $6k. This is the lawn for the rehearsal dinner, clubhouse for welcome party, either the ballroom or patio for reception, wine bar for after party and either reception space for a brunch(whichever your reception is in). There’s a separate cost for the ceremony.


I emailed her to get an idea of the total cost and she sends me a pdf listing out the cost per person and taxes and fees per person with the two other costs(ceremony fee and a booking fee)
Nowhere does it list the $5k fee so I emailed her and said “Is the total cost with the bridal buyout” and she responds “ That is included yes…. Its approximate and a good reference.”
Should I ask for a contract even though we’re not sure this venue is in budget? I asked for a cost breakdown to see the final cost and if the $5k dee isn’t included it’s very much over budget.

    That makes no sense. She needs to send you an accurate quote. If she's not able to, move onto another venue.

    I am assuming that she means that the 5k is the rental fee for the reception and the cost(s) per person are for food/drinks.


    You should ask for a copy of the contract and maybe arrange a call where you can talk everything over. Smiley smile

    Yes but I asked for the cost breakdown and didn’t see the $5k listed and got confused. I’ll definitely ask for the contact with the total price listed.

    Yeah I loved her during the tour, but I’m a little annoyed over this. It’s the only venue in our budget though so I’m hoping everything turns around.

    Definitely ask for better clarification. However, I take this to mean you pay $5k to book the space for your reception, then pay per person for your ceremony. So if it is $100/pp and you have 100 guests, you pay $10,000 for your "ceremony" plus the $5,000 booking fee making your total $15,000.

    Again, ask for clarification, because this is just what I gathered from what you stated above.

    I feel like we may have inquired about the same venue!! Samoset???? Anyway, I wrote back and said to be clear - it is buyout + ceremony fee + per person fee. Hope that helps!

    So I knew there was the buyout, ceremony and booking fee, but in her quote it just said the below. I asked “Is this the total cost with the buyout” and her response was “Confused by what the coordinator means 1

    “That is included yes…. Its approximate and a good reference.” And so I made sure to say “Thank you for that, I knew my fiancé would ask if it was included in the quote but I didn’t see it. “ and she didn’t touch on it again.

    OH weird... yeah so WHERE is it on that PDF... that is so confusing. I would respond and say can you please explain where the $5000 buyout fee is located in this PDF hah..

    No have not toured it but it looks INCREDIBLE! I live in Mass, so we technically can't visit Maine yet hah!

    I spoke to my mom who basically said that because she said it was in there that I should assume it is lol. I’m waiting to hear back from her on another question and I’m gonna ask her for a copy of the contract.


    So I’m actually from Massachusetts and I toured last Friday. No issues getting into Maine. The drive was the only bad part. We did a day trip and it was 3.5 hours one way. We left around 7 for our 11:00 tour and didn’t get home until 4. If you want to stay there just get a covid test from a rapid drive thru. If it’s negative you’ll be fine.
    The one thing I will say she never told us until the tour was that the patio requires an outside tent rental that came out to $8k. They won’t allow you to shop around either unfortunately so you cannot try to get a cheaper quote. The ballroom is included in the buyout but has no windows and is in the middle of the hotel.
