Coffee Station Issue

Jennifer, on July 24, 2012 at 2:30 PM Posted in Planning 0 9

My FI and I recently sat down with the wedding coordinator at our venue to discuss our menu. We decided on all of the food and drinks we are going to have but after thinking it over for a few days I emailed the coordinator to tell him that we decided we didn't want to have the coffee station which is brought out with the desserts. There are not many people out of our friends and family who will drink the coffee so I don't feel its worth the expense. I got an email back today saying we have to have the coffee station and it can't be removed. I'm a little irritated b/c this just feels like a waste of money.

Has anyone else come across this in planning your menu?

Hmmm, is it already in a written contract? I know that some venues include the coffee station for free with the food, but to say you 'have' to pay for it just sounds a little odd to me. If it's something you already agreed to and they don't want to lose the money, maybe there could be a compromise where you pick out soemthing else (maybe a chocolate fountain or something) that would cost the same so that there isn't a change in the total price. Other than that, I do have to say that, just because someone doesn't normally drink coffee doesn't mean that they wouldn't enjoy a cup with dessert. You may be surprised at how much coffee people end up drinking when it's late and they are tired from dancing and need something to keep them awake for the drive home.

It seems silly that you "have to have" the coffee station... are you sure it's not included? I only ask because coffee, tea etc are included in the price for our reception. If it's not included, stick your guns and tell them it's not something that you want. If it's about reaching a price minimum, if you're ok with the expense, just not the coffee, maybe you can upgrade something else on the menu. Hope this helps!

I'm having a coffee station, but it was optional for us. Our package included served/poured coffee at the tables, however i liked the coffee station idea (different flavors, different creamers etc). But im a big coffee drinker so i was all for it. Smiley smile I would say, unless it is part of the reception package you signed for, then you should be able to remove it.

I double checked the invoice I received and its definitly an extra charge. Hopefully I am wrong in thinking people won't enjoy it. Adding hot chocolate or some other alternative is a good idea though.

I'm going to talk to the coordinator about alternative options. I was going to send him another email but I think it'll be best to discuss it in person the next time we see him.

I would talk to the coordinator because this far out, you should easily be able to make changes. If you don't get any satisfaction from him, get the manager or owner of the venue. If the coffee station is an extra item, you should be able to change your mind about it. I played around with the menu several times before deciding on the final items and it was no problem.
