cocktail wedding timeline

mdyblue5, on June 11, 2011 at 3:35 PM Posted in Etiquette and Advice 0 6

I'm up for any suggestions. we're having a cocktail wedding reception. having the ceremony at the same place. the setting: garden(backyard of a house). it's big enough has a ceremonial site, dance floor, bar and space enough to have tables. we can have up to 150 people since it's cocktail style, but shooting for 130 people.

4-6pm take pictures

wedding from 6pm-10pm

6:30pm-7pm ceremony (prob last 20 minutes)

7pm serve food(carving station, heavy appzs, salad) will be an open bar which will start serving at 6pm

8pm-cake cutting(?)

thinking the dj will get a feel of when to start playing dance music

not sure exactly when to do the toast maybe right after we get married, not sure?

Well honestly I think its a good starting point but needs a lot more detail...of course i'm a bit obsessed over my timeline. But I think with 130 people you may want to have a more detailed outline including start/end times, who is responsible for what, etc. For instance, the order of the pictures for your photographer, first dances, parents dances, who gets announced and when, toasts, etc. We are doing just one toast (best man) during dinner but we have a small wedding. I'm sure you will have lots more toasts so you will want to outline who is giving them and what time. Also, just a quick note the cake cutting is typically an indication that the reception is over so keep that in mind. The better the timeline the more your vendors will appreciate it AND the smoother it will run! Good luck!

Are you doing lounge chairs around the dance floor for extra seating, as well as high tops with chairs around the bars?

Open bar at 6??? but the ceremony is from 6:30 - 7.... Im confused... You really think you will have that many drinkers before the ceremony? Can you save some money and cut an hour out of the open bar?

7:00pm- Reception in Ballroom, Entrance, B&G First Dance, toasts, food

    - Open Dance (DJ)

8:00pm- Father Daughter Dance/ Mother Son Dance

    -Open Dance

8:45pm- Cake Cutting, Bouquet / Garter Toss

9:00pm- Cake, Coffee and Dessert Bar

    -Open Dance

    9:55pm- Last Dance

Since the event runs through the dinner hour, please indicate on your invitations that you are not serving a full meal (cocktail reception). Many people will be rushing from work to get to the wedding and you don't want them to be hungry. If they think there is a sit down meal, they might not eat the apps (because they assume there is a meal coming) Also, some may grab a bite to eat before the ceremony if they know in advance.

Thanks girls. oh yes i will definitely put cocktail reception on the invites. we won't be doing any father/mother dance since his parents and my father past away. also i'm not going to do the bouquet/garter toss. i'm still deciding if we're going to do a first dance....not sure yet.

we've decided we will have the bar open at 6pm. we are supplying the alcohol.

    I would suggest the following:

    6:00 Pre-ceremony cocktails

    6:30 ceremony

    7:00 Cocktail hour continues

7:15 Grand Entrance, followed by toast, first dance

    7:30 Open Dance Floor

8:15 Cake, followed by more open dance floor
