Cocktail Hour Food Quantity - Help!!

TLDR; What quantities should we get of fruits, veggies, cheeses, and crackers for a 3:00-4:30 pm cocktail hour with dinner served right after at 4:45 pm.


A couple at our church used to cater weddings (retired when the pandemic hit) and is coming out of retirement to cater our wedding. They are taking care of everything except for the cocktail hour food.

My fiance and I are on a tighter budget, but still want to supply something for cocktail hour because that's just what you do! We were thinking of just doing fruit, veggies, cheese, and crackers. If money allows, perhaps some other fillers, but just that for now (we went to a wedding that did this and it was perfectly fine as they served dinner right after the cocktail hour). It's a dry wedding (don't get started on that. Mean comments will be deleted).

Our ceremony is at 2:00 pm, it takes about 20 minutes to get to the reception venue from the church, so our cocktail hour will begin at 2:30 pm. It will last until 4:15-4:30 pm to allow for pictures and then travel time to the reception (for the bride and groom). Dinner will be served right after the grand entrances.

How much fruit, cheese, veggies, and crackers should we get? I don't want to have a million and one pieces of food leftover but don't want to run out!

    If they used to cater, do you think they would know about the cocktail hour stuff? I'm sure professionals would have a better idea

    Professional caterers can give you an estimate as part of their job. Depending on the crowd, not everyone eats veggie platters and many times those go to waste. Fruit and cheese will go very quickly.

    I think the big thing is that your cocktail "hour" is very long. 2 hours, even without alcohol, is a long time for people to much on such light apps. Is there any way to shorten that gap or provide heartier food or maybe some kind of activity?

    FWIW, I'm generally a fan of long cocktail hours because they're my favorite part of a wedding. Ours was an hour and a half, but we had substantial apps, live music and a scenic venue. I think if you're just doing light bites it's less viable.

    Our ceremony and venue are in two different places, 20 minutes apart. We're not doing a first look, so a lot of pictures will be taken after the ceremony. A 1 hour cocktail hour isn't viable for us for that reason.

    I see what you're saying, but I don't have the money to spend $750-$1,000+ on appetizers for people that could substantiate a full meal when I'm also paying for a full buffet meal for them. If you have any suggestions for budget-friendly apps, I'd love to hear them.

    They'll spend from 2:30-3:00 just traveling to the reception venue and then when they get to the venue, there will be a DJ, corn hole, card games, and a photobooth. There are things for our guests to do during that time.

    I could probably talk to my photographer and see if she thinks it's viable to get all photos done between 2:30 and 3:30 and then have us travel from 3:30-3:50/4:00 to make it to the reception by 4:00 for a true cocktail/social hour. That may help with the lighter apps.

    It doesn't sound like very much to tide people over for up to 2 hours with no alcohol. I'd either provide more food or shorten the length of the cocktail hour. If you do go this route, then I'd recommend having a choice of at least 4 types of cheese, 4 different varieties of crackers, and an assortment of fruits and veggies (maybe with some ranch dip, hummus, etc. to go with the veggies).

    I got my times wrong and can't edit my original post.

    Cocktail hour will be from 3:00-4:00 pm. I wasn't planning on having like 2 cheeses and 2 fruits. It's gonna be a substantial display. Fruits, cheeses, crackers, veggies, dips, perhaps a few meats. Dinner will be served at 4:15 pm.

    We will have a DJ playing, a photobooth, corn hole, card games in addition to the food and (non alcoholic) drink.

    Gotcha. This sounds much better. I think you'll be fine with this plan. For quantity I guess it depends on how many guests?

    I never heard the term "dry wedding" before. But i think is ok. All i care is food lol so if i was invited to your wedding i will be happy. I love cheese and crakers, and veggies and fruits. I think is very filling and tasty.
    I also think that kind of classic coctail is really elegant, you dont need anymore, just some good lemonade and maybe ice tea

    I think my caterer said around 5 pieces per person per hour. I don't know if that's for each dish or total. With alcohol I'd guess it's per dish.
