Catering Numbers?

Isadora, on November 10, 2014 at 12:37 PM Posted in Planning 0 6

I was wondering if I will be having enough food for my guests with what I'll be having, or if I should play it a little safer.

The food will be buffet style

I requested food for 100 people

As of right now, including myself and the groom the total is 107 people. This is without RSVP's so the number should be a little less (However, we are expecting that almost everyone will show up)

Out of those 107, 15 are kids. Do you think we will have enough food?

The problem with ordering more food is that not only would we have to pay for those extra plates, but the venue fee is based on the number of people attending and right now we are at the 100 limit before the next price jump. This is why i'm really trying to make it work with the 100.

Are you asking if it's okay to tell the venue that you have only 100 people but you will, in fact, have more than 100? Most of the time you have to tell the caterer how many adults, children, and vendors you will be feeding. They need silverware, plates, etc, so the numbers will have to match however many people are eating in the end.

Technically? You should give your venue the numbers you know you're going to have.

In reality? You aren't going to get 107 people there. If you're inviting 107 people, you WILL have declines no matter how many people you think will absolutely be there. You'll probably also have some no shows. We had 10 people not show up the day of, and 4 cancel within the 48 hours before ...

    So my advice?

    1. Either cut your list down to 100 if you really think every single person is going to go because you need to be able to afford to pay for all of them.

    2. Don't add anyone to your 107 person list and wait until you start getting RSVPs back to worry about this. I really and truly think that you'll get declines and will end up under 100 people if right now you're only inviting 107 people.

Note: Are those couples or is there potential for a bunch of guests to add plus ones and put you way over 107? because if that's the case, this is a whole different story.

Even if there is enough food, Janeen's point is spot on. There has to be a place, plate, silverware etc for all 107 people. That's nearly a table full of people. It's a huge embarrassment for the guest and you to find you don't have enough seats. We might be able to find a table, but you do have to think about linen, centerpieces and everything else they need to eat off of.

Order enough plates for everyone. Bottom line.

I capped my invites at 107 because I am planning for 100 or less people to show up. We are inviting mostly families where everyone is accounted for. For the few single people, we gave out many plus ones. Also, the venue is already setting up for 109 people just because the table numbers work out, so that wouldn't be a concern. I guess my question really was if my assumptions are correct (inviting 105, expecting right under 100) before i preemptively spend more money for having over 100 guests.
