Caterer Headcount

Bambi, on August 2, 2017 at 6:03 PM Posted in Planning 0 11

We finally got our RSVPs back (hello cat herding fiasco) and including vendors to be fed, our total is 52. Thinking of telling the caterer final headcount is 55 to allow for some kind of overage or buffer. Would y'all say that's sufficient or needs to be higher? I really have no idea!

Just tell them your actual headcount. Caterers account for small variations and usually make a little extra.

Curious as to why you would pay for more than will come to your wedding? Do you expect people to show even if they declined? Is it a buffet? If so, your caterer will know how much food to have for 52 people.

Caterers already plan to for a little extra. Only pay for your headcount.

It is buffet style and we have a few "on the fencers" for lack of better words. But, they're important to the FH so I'm trying to account for them in case they do show up.

I would only pay for the headcount.

It so completely rude of guests who don't RSVP and still show up. I know people do this though.

I actually had a couple people RSVP "maybe". I called them and told them I needed a definite answer by a specific date or would mark them as a decline. I did the same for people who did not RSVP at all also.

The headcount, including you and your BP should be fine.

Be sure to count yourselves, but no need to account for more than who RSVP'd yes. Don't spend more money than you have to!

My worst fear is extras show up and we run out of food!

Tell your caterer your situation. Ask how many last minute guests they realistically think they could accommodate. I'm sure they will have enough food to for 3 guests who show up unannounced. You can make their place cards say "I didn't RSVP but showed up anyway"

I too say only confirm what your head count is. Especially since you're doing a buffet, there will definitely be a little wiggle room.
