Bottled water at reception

We are having our reception at an outdoor location that is near the Ohio River. Because it is a little secluded from the nearest big city, they only have cistern water, which the owner told us is not safe to drink. Therefore, we have to make sure we have bottled water for our guests to drink. We will be having wine, beer, and 2 signature cocktails, as well as Diet Coke, Coke, Sprite, and water. We are having about 200 guests. The wedding is in October, so it shouldn't be too hot in the Cincinnati area. Does anyone know how many regular sized bottles of water I will need? We are probably also going to have some gallons of water for the caterers and just in case we run out of bottles. I have looked online and all I seem to be able to find are wine and beer calculators. Your help is MUCH appreciated. Smiley smile

    My suggestion would be going to Sam's/BJ's and buy the large packs of water they have there. its cheaper in the long run. And if you have extra you can always drink it. I buy the water there and I think I get 35 bottles in a package I'm and NOT so good with math sorry Smiley sad

    You are suppose to provide a drink per person per hour. I know we are going to get a LOT of water because we will use it after the wedding. For 150 people we are looking at about 50 cases for the weekend. There will be a lot of oot guests staying before and after.

    I figure about $200. in water.

    Few questions, 1 is your reception guest list mostly drinkers (alcohol), and 2 do most of your guests prefer pop over water? This is totally coming off the top of my head but I would plan 3 bottles per guest (at least). Reasoning behind my 3 is for most drinkers at wedding receptions they are enjoying the open bar, they are not going to be drinking water, also a lot of people prefer pop over water. If the "drinkers" do happen to drink non-alcoholic drinks during dinner it is most likely going to be pop. Some people like my self do not drink pop at all, but I would be drinking beer. I would definitely not drink more than 3 bottles in one night (while drinking beer). I do not know if this makes any sense LOL but just what was going through my head.

    I would buy on the side of caution and have minimum of 2-4 regular sized bottles per guest...that will make sure you have enough as some guests will drink more and some less...and as Soon2beMrs.K said...if you have left over bottles it won't go bad, you can always drink them

    Also if there are children, those little things can go through some bottles of water LOL most likely not drinking the whole bottle they started with but that is another thing to take into consideration.

    I do not know the prices at Sam's but lets say you estimated 3 bottles per guest, that would be 600 bottles of water. If you are getting them in 24 packs, you will need at total of 25 cases. Estimating the amount per case at $3.00 you are looking at $75.

    I buy the Sam's club Member' Mark brand and it is less then $4.00 for 35 bottles. so say you bought 6 cases of water it comes out to 210 bottles of water (I think lol)

    to be on the same side I would by at least 10 cases.

    You might want to think about the smaller bottles of waterl, otherwise you may have LOTS of half bottles being thrown away...Sam's and WalMart sell the smaller bottles.

    I'm not sure about how much but are you having a caterer? Are they supplying everything? If not I'd buy gallon jugs and have them in pitchers on the tables. That way you don't have all the trash to clean up and it might be cheaper.

    Like everyone else has mentioned water at Sam's club is about $3.85 for 36 bottles I believe. I have also heard about the one drink per hour per person but I have only heard it applied to alcoholic drinks . Are your guests huge dancers? If they are they will need to keep hydrated and will need a bit more water. But I think you can apply the one drink for every hour to this

    For our wedding we had about 100 people and we bought about 200 waters because we figured not everyone is going to drink a bottle water and we were right. We walked away with 50 extra waters. I heard that you should always double your guests list, so I would say get about 400 waters. This will allow each guests to have two bottles of water in addition to the soda and alcohol. Just my opinion though.

    Hmmm, these all seem to make sense when you give me the reasoning behind your number. Most of the guests are drinkers, about half of them being big drinkers (i.e. A LOT of alcohol and no water). However, most of them are dancers too, so maybe those two facts even each other out? Haha! What I'm kind of thinking after reading all the different responses is that maybe I will do a little of everything - some half bottles, some whole bottles, and some gallons. And Angela T., we are having a caterer, but we are trying to supply anything that would be cheaper to buy ourselves. I think they were going to charge about $6 per person for non-alcoholic bar setup (aka $1200 on top of alcohol!) -- Eeeek!

    If it was me i would buy 200..1 per guest..because not all guest are going to even want it..i think even by buying 200 you will still have extra.

    Some caterers don't let you so I was just checking. Also check out a GFS or if you really want to save money save old milk gallons, boil them to sterilize them, then fill them from your tap at home.

    What about putting pitchers of water on the tables to save on the plastic? It's best to plan on serving three guests for each liter. If you go the bottled route, keep in mind that guests usually take a bottle with them as they leave for the ride home. If you are set on doing plastic bottles, 2-3 per person would be safe. If you purchase them at Sams Club, Costco or BJs, it's very affordable. Having leftover wouldn't be a bad thing either since it's something you can alway use.

    I read on a party planning site that 2 per person in addition to other non alcoholic choices is the best route. Like everyone has said, most people will choose something other than water.

    For our outdoor wedding, we are having beer, wine, lemonade, and tea, and having a flavored water bar with water infused with different fruits and such. I saw a really cute set up on pintrest and loved the idea. We will also have plain water available of course.

    I would look into the gallons of water because those are around $1.00 / gallon and then you don't have to worry about extra trash andpeople setting down partially finished bottles of water.
