You don't need a head table for those things. Lots of couples use a sweetheart table if there's a dinner. There should be tables and chairs for every guest or people will leave early. For a cocktail reception, it's common for the couple to stand as soon as they walk in. Talk to your coordinator and dj. What you are describing is very common.

Totally agree with Michelle- talk to your venue, DJ & photographer. That way everyone is on the same page.

View Quoted Comment If you’re having a cocktail reception, your wedding party can “disappear” into the crowd and find their own high boys after they make their entrances. They don’t need to be next to you while speeches are made; you can have a sweetheart table with the speeches microphone set up next to it and the DJ can call up the MOH/best man when it’s their turn to give a speech.
