Accommodations for Vendors?

Future Louie, on November 28, 2017 at 3:28 PM Posted in Planning 0 13

Is it usually expected for the couple to pay for accommodations for vendors not close to the venue, particularly the photographer? We FaceTimed with her and I asked since she's about an hour and a half away from the venue, if we would be responsible for her room. I know that we should feed our vendors but wasn't sure on accommodations for this distance. When I asked, she was taken aback a bit since no one's ever asked but she hasn't had much experience with weddings over an hour away. She said she wasn't sure but that she may just drive back home at the end of the contracted time.

I figured I'd ask you all while I'm waiting for the contract to be drafted up so that if it should be expected I could have it included. With her only being about 1.5 hour from the venue, my assumption would be that we wouldn't have to provide a hotel room but I'd like to hear other opinions. From our conversation, it seemed more like we'd talk about whether or not it would be needed closer to the wedding.

No. An hour and a half? I live in NJ, and that's pretty much a given when we venture into NYC or anywhere in west NJ.

She drives there, she drives home. That is pretty common.

If you're dealing with extenuating circumstances, like a Friday night at the Jersey Shore in high season, you might offer it JUST to make sure she can actually get there.

An hour and a half is a reasonable time to get back home after your wedding, assuming you're not booking her until the early hours of the morning.

    Usually the contract will specify.

I wouldn't leave it to be talked about closer to the wedding, unless you're happy to provide it if she requests.

Some vendors, yes. Mine is 1.5 hours away and I'm paying for some vendors (DOC) to have a room the night prior and night of. I told her I didn't want to think About her driving a hazardous drive in snow and mountains after midnight after cleaning up our wedding. I worked it out to lower her overall contract price if we paid for accommodations.

My photographer was about 3 hours from my venue, she tacked on an extra $395 to the contacted price to cover gas/room/etc.

I think less than 75 miles away, she didn't charge extra for travel.

Our photographer is driving about the same distance. I offered to cover her room if she wanted to stay, mainly because she does not usually come to MA (she is a friend of a friend who lives in CT and thats how i found her) but she declined. Its a nice thing to do but I think they expect to have to drive home after.

Agree with others an hour and a half isn't that far. Some vendors have it in their contract if they travel over X miles it is an extra X amount, but I would never bring it up unless they mention it or it's in their contract.

We are doing a destination wedding and flying our photogs in from out of state, so obviously all accommodations are our responsibility.

So the overall consensus is no which is fine by me! She'd be finished with her job well before midnight.

We spoke about possibly paying for her room the night before which is something we'd be happy to do if we decided to have her at the rehearsal to get acquainted with the location but I was unsure about the night of the wedding.

ETA - She IS charging us her minimum travel fee which really only covers gas and maybe some extra pocket change.

We covered the hotel cost for our wedding planner and her assistant. The other vendors charged us travel fees for the gas and mileage. We hired vendors out of Denver and got married in Keystone. Typical drive time is around an hour and 20 mins but that can push out to double that depending upon road conditions and weekenders.

Our photographer stated in our contract that if she was there past her scheduled time we would be expected to provide accommodations for her.

I think it really depends some may if they are traveling very far

I limit myself to two counties so this is not typically a situation where I find myself.

Years ago, I had a rehearsal & dinner about 1.5 hours away and then the wedding the next day. So about 6 hours of travel time, driving home late at night. Probably should have stayed overnight, but didn't.

I just got the contract this morning and it's stated that an overnight fee will occur for events 4 hours or more away, which is obviously not the case for us. Thanks guys!

If it's in the contract, yes. Otherwise, I've never heard of such a thing for vendors.
